Administrative Assistant 3
within the Administration (FFA) and the (MOD).
In this role, you will provide essential administrative support by managing office operations, coordinating communications between supervisors and staff, and processing hiring paperwork. Reporting directly to the Facility Manager, you will act as a liaison on division matters, making key decisions related to administration and operations while ensuring confidentiality and protecting sensitive customer and staff information.

Some of what you'll do:
Provide comprehensive administrative support to Maintenance and Operations staff, facility personnel, external agencies, and vendors.Manage multiple projects and set priorities for office operations, record-keeping, and document preparation, ensuring efficiency and organization.Process hiring paperwork with Human Resources and review staff work for compliance with policies and standards.Act as a liaison between supervisors and staff, coordinating assignments, tracking deadlines, and facilitating information flow.Support the facility manager with secretarial tasks, including calendar management, meeting arrangements, and travel planning.Manage budget preparation, track expenditures, and operate the Flexible Agency Resource Management system (FARM) for personnel requests and updates.Respond to service requests, coordinate maintenance responses, and deliver customer service support within the maintenance department.Manage time to meet work deadlines, and track required reporting deadlines/other deliverables for team.
Who should apply?We're looking for professionals who meet one of the following qualifications
A high school diploma or GED
AND
three years of progressively responsible experience in office administration, clerical support, secretarial work, bookkeeping, accounting, or general administrative tasks.OR
Equivalent formal education or training in office administration, bookkeeping, or accounting, which may substitute for experience on a year-for-year basis.
