Job Summary:

Assists the Directors on a daily basis supporting the departments needs. Must be comfortable making outbound calls. Intermediate knowledge of Excel, knowledge of Microsoft Office, and ability to manage multiple calendars in Outlook required. Must have organizational & time management skills. The schedule for this role is Monday-Friday 8AM-5PM.

Customer service, telephone etiquette, Microsoft office Excel, Word and PowerPoint skills a must!

Candidate must have strong customer service skills, able to assist with customer complaints. Also strongMicrosoft office skills ability to multi task.

Administrative FunctionsCoordinates call schedulesMaintains master copy of the call schedules as directedDistributes call schedules to necessary parties with changesCommunicates with answering service regarding changes in groupAssists in recruiting candidates for open positionsReviews applications and resumes to select applicantsConducts screening interviews for Directors for open positionsPerforms reference checks on prospective employeesHandles collaborative agreements between physicians and the ARNPsCreates the collaborative agreements for new ARNPs with the appropriate physicians, obtains signatures, and sends them out to the necessary partiesEnsures annual notices are mailed to the state each yearNotifies the state when collaborative agreements are terminatedFacilitates meetingsArranges catering for meetings when neededCoordinates meetings with attendees, sends out reminders and reserves spaceOrganizes and schedules educational seminars for providers and staffServe's a liaison between Clinic and Hospital Medicine PhysiciansManages work flow within the departmentAnswers incoming phone lines and handles messagesOversees Admin B office inventory and generates purchase requisitionsDistributes incoming and outgoing mailDistributes incoming faxesRecords PTO requests and distributes signed copies to appropriate staffDelivers Access Agreement forms to ITProduces memos, spreadsheets, forms and letters utilizing various software productsOrganizes and maintains Director's files and department manualsResearches invoices as required by DirectorsAddresses software, hardware, phone, and G-NAV system issues and creates IT tickets if unable to resolve, and monitors ticket statuses dailyAddresses facility issues and creates work tickets for MaintenanceMaintains petty cashAssists with payrollDistributes PTO accrual by department via email to SupervisorsReviews and updates employee attendance for Supervisors through electronic time systemReviews time clock reports for the departments for correctionsEnters miscellaneous time (i.e. PTO, CME, jury duty, and bereavement time) as needed if available and approvedAssists in collecting time sheets for salaried employeesAdditional Responsibilities:
