The Office Administrator will work under minimal supervision, delivering a full range of tasks and administrative services to the customer group. The role includes performing sales and warehouse tasks related to collection, credit, contracting, as well as shipping and receiving of equipment. The Office Administrator will make independent decisions about planning, organization, and scheduling of own work, and will resolve most questions and problems, referring only the most complex issues to management. This position may also assist in orienting and training other employees.

Duties

General administrative support functions and data entry for Sales and Warehouse personnel, providing customer service with EFCO Online and processing EFCO Online orders.

Contracted Orders: Data Entry - 300 Sales Plan. Routes executed contract packets and related documents, ensuring the overall contracting process is met. Collections of past due accounts, processing of credits and refunds.

Shipments: Data Entry - Enters Equipment in 365S and creates Freight Load ID. Coordinates freight and prepares bill of lading forms for outbound shipment.

Returns: Data Entry - Enters equipment in Automated Returns, logs incoming trucks, coordinates double counts with warehouse personnel, ensures appropriate signatures are acquired, and processes invoices for Freight Load ID.

J-File: Responsible for updating J-Photos on shipments and returns, uploading 620 Memos and DBR pictures in correct file formats, preparing letters for 620 calls, and coordinating appropriate signing and approvals as needed.

Updates 300 Sales Plans and ship dates as needed, assists in weekly district meetings, and submits weekly and end of month reports.

Sorts, opens, identifies, and distributes incoming and outgoing mail. Provides other job-related duties or support as required, including greeting customers, answering phones, fielding messages to the correct department, ordering office supplies, and assisting with employee travel. Timekeeping support in Kronos.

Coordinates pre-employment screenings of potential candidates, assembles new hire paperwork, and submits status change forms, ensuring all required computer, safety gear, and training materials are received prior to the start date.

Requirements

High school diploma or equivalent plus 2-4 years experience in office administration, collections, or other administrative support field.

Excellent verbal and written communication skills.

Ability to prioritize assignments and adapt to changes in daily tasks when necessary.

Proficient in Microsoft Office, specifically Word, Excel, Outlook, PowerPoint, and SharePoint, along with an aptitude for new programs like Salesforce and Kronos. Ability to comprehend and retain process knowledge and workflow tasks.

Detail oriented, with good numeric and alpha skills, as well as general filing and recordkeeping abilities.

Must be able to work independently and maintain confidentiality.
