The Executive Travel Administrator is responsible for directing the execution of all travel support activities across the firm, to include direct ownership of all travel requirements for executive team members. This includes managing coordination with private aviation management and charter companies to ensure a seamless travel experience with a high level of attention to detail and an unwavering commitment to exceptional customer service. The ideal candidate will exercise sound judgment, balancing competing requirements and effectively mitigating operational risk to ensure all needs are met in the most efficient manner possible. The candidate must quickly master company operating procedures and program policies in order to make independent decisions to ensure the highest level of customer service.
Essential Duties:Responsible for managing the intake, triage and appropriate coordination of travel support requests for the firm's executive team, including but not limited to: private chartered aviation, ground transportation, hotel accommodations and other concierge-level requests as required. This includes conducting an independent analysis of cost-benefit across multiple vendors assessing cost, complexity/risk, feasibility and traveler experience to develop the best travel solution tailored to meet each individual's needs.Managing the scheduling of the firm's private aviation program, ensuring availability of aircraft to support all approved private chartered aviation missions. This includes direct ownership of an internal aircraft scheduling process and request portal, to be maintained with up-to-date information at all times.Direct oversight of all travel vendors that support the firm, assessing and projecting the firm's travel support needs based on business growth and designing responsive support protocols to ensure all travelers are served in an efficient and effective manner.Ensuring proactive communication and risk mitigation by identifying and eliminating all potential risks associated with travel. This includes, but is not limited to, identifying, and communicating all weather, airspace and airport related information to the appropriate departments and ensuring the appropriate aircraft is assigned to meet the colleague's needs.Developing clear and consistent travel program policies and procedures, as well as implementation guidance and performance reporting in order to provide real-time performance reporting to the CFO, COO and CEO. This also includes leading direct coordination across departments to ensure appropriate financial and regulatory reporting is completed as per program policies and procedures and applicable IRS requirements.Management of the firm's travel program budget. This includes making independent decisions to manage to established financial performance targets and utilization benchmarks across the firm's entire travel program.Advise the Global Head of Operations on new travel capabilities required to meet the needs of the firm's executive travelers. This includes anticipation of future business requirement to design process improvement initiatives which increase program efficiency and effectiveness.Provide advice and counsel to senior executives in planning international engagements; to include coordination with physical security team and balancing specific country requirements against business needs.Design and implement a comprehensive communication program to ensure all colleagues across the firm are educated and informed regarding the firm's travel program and provide direct support to all travelers requiring assistance during the planning or execution of travel.Qualifications and Skills
Bachelor's degree or equivalent preferred.5+ years' experience supporting C-suite executives and must be comfortable managing competing priorities while working in a fast-paced environmentExperience with private travel/charter coordination is preferred, but not required.Experience managing external vendor/partner relationships preferred.Must have experience with office software products including Outlook, Word, and Excel. Prior experience with scheduling software strongly preferred.This position requires a flexible schedule, which will include nights, weekends, holidays and on call/after hours.
Salary : $85k-$120k Commensurate with experience and location. Does not include bonus or long-term incentive eligibility (if applicable).
