Essential Duties and Responsibilities:

As a member of the Shared Services Department, the
Professional Assistan
t (Tax Processor Admin)
will report to the Manager of Administration. This position is required to be in the Parsippany, NJ office; WFH requests can be made to the Manager of Administration and are subject to approval.
Responsibilities:
Participate in Sax trainings and serve as point-person for merged-Firm staff/partner questions/training.Provide training to new hires on Firm procedures as requested.Procure client source documents from Portal/SafeSend/Tax Caddy as necessary, save in GFR and notify respective parties; follow-up with clients for missing items.Save all returns, reports, documents and forms to the Firm's document managing system (GFR) and/or CaseWare. Routing workflows when appropriate.Process and finalize monthly billings and retainers.Type, proofread and format all types of correspondence and Tax Arrangement Letters for the Firm.Prepare PowerPoint presentations.Create barcode pages for source documents to be scanned.Schedule meetings for Partners and notifying participants.Provide Partners a weekly update of all outstanding and/or requested items.Provide backup to Tax Processing and E-File teams as necessary:
Print, process and assemble tax returns and distribute to clients and various governmental agencies.Process tax returns through E-file system; release returns through E-file system by managing the client return of signed forms; follow up with clients whose forms are delinquent.Follow up with Partners on filing rejections or errors.
Provide back up to Accounting Support Associates as necessary:
Type, format, and proofread Financial Statements and reports according to Firm standards.Releasing and tracking A&A documents through SafeSend to obtain e-signatures.
When in the office, greet clients at Reception, guide them to conference room/office, and provide refreshments as requested.Business or Business Casual attire is required at all times.Qualifications:
Maintains confidentiality in all aspects of position. Maintains the ability to use grammatical, spelling and punctuation skills effectively. Must have excellent organizational skills and the ability to multi-task. Possesses excellent interpersonal skills as well as a cooperative and dependable personality.
Proficiency in Microsoft Office, specifically Word, Excel and Outlook, is required.Prior experience in a Tax/Accounting firm is strongly preferred.Must be able to type a minimum of 60 WPM.Must be able to sit for extended periods of time.Experience with PowerPoint, GFR and CCH Axcess is preferred.Expected workweek is 37.5 hours, 8:30am-5:00pm Monday - Friday.Vacation blackouts, OT and availability on Saturdays required from Feb. 15th - April 15th, and Sept. 1st - Oct. 15th.Comprehensive Benefits Package includes:
