TITLE: Shipping/Receiving/Parts Dept Assistant
REPORTS TO: Parts Manager
MAIN OBJECTIVE: Responsible for assisting in shipping and receiving of all parts and material, the storage and return of exchange items including those damaged in transit, and the handling of special items ordered by the dealership. Will also assist in the parts department when needed or required.

Valid Drivers License Must maintain condition of insurability through our current liability insurance carrier Minimum of a high school diploma or equivalent Excellent communication and human relations skills Professional appearance Excellent organizational skills Computer knowledge Must have basic mathematical skills (must be able to add, subtract, and work with fractions and percentages) High retention and the ability to work well with numbers Essential Duties Shipping/Receiving
Receives, inspects, sorts and stores all parts and merchandise Insures dedicated delivery ticket count and package counts agree Insures parts received agree with packing slips Notate package damage on shippers delivery document Matches package slips and invoices, approves, and forwards to the parts manager Stocks and posts incoming orders Records receipting of parts, other than pick-ups, into the computer system Tags special orders as received and provide prompt distribution Stocks parts neatly in proper locations and assigns locations where none exist Prepare claims, on a timely basis, for overages, shortages, and damages Accumulates and prepares for shipment, on a timely basis, those parts and accessories to be returned to the manufacturer for repair or credit File and creates documentation parts claims and returns Process via the computer, the customer order file, the parts arrived file, and the back order file Assist parts manager in back order awareness, if obvious at shipping and receiving point of check in, including but not limited to floor back orders at the warehouse level Immediate updates of customer car down in service overnight, and critical parts arrival or shortage situations Assist parts manager in monthly inventory recap preparation by documenting dealer price of parts on packing slip Disburse parts order slips to the proper areas when orders are filled Ensures that special order customer parts are not on the shelves more than 30 days after the last part for an order arrives Assist parts manager in reconciling inventory dollar value with book dollar value using company designated procedures and s Coordinates with local freight companies for pick-up on a daily basis and to make certain that air/bus shipments are made according to carrier regulations Reviews files to determine unused items and recommends disposal of excess stock Ensures that credits are received for returned parts Returns parts as needed (i.e. obsolete and/or non-moving inventory) and removes from inventory as directed by parts manager Returns cores in a timely manner and follows up for receipt of credit Installs and orders bed-liners, coordinating with sales and detail departments as needed Assists in preparing for and performing annual parts inventory Assists with parts department telephone coverage Assists counter people when necessary Operates forklift Understands and maintains a knowledge and awareness of what constitutes a hazardous material shipment. References known resources to facilitate proper shipment of hazardous materials. Notify parts manager of pending hazardous material shipments prior to release of shipment to carrier Other duties as assigned Maintains facilities and equipment, ensuring cleanliness and safety. Understands, keeps abreast of, and complies with federal, state, and local regulations that affect the Parts department operations, such as hazardous waste disposal, OSHA Right-to-Know, etc... Essential Duties Parts Counter:
Assists all customers (retail and shop) in selecting required parts in a friendly, professional, and efficient manner. Solicits customers, at the parts counter, by telephone and also direct contact, for parts and accessories sales. Informs customers of companion part requirements and specials. Provides delivery service of orders requested. Answers phone calls, providing price quotes and other information. Provides high level of service to internal and external customers. Pulls and fills orders from stock. Notifies parts manager of out-of-stock parts or shop materials that need immediate attention. Locates out-of-stock parts from outside source and submits an emergency order, if necessary. Notifies the retail customers when all the parts have arrived. Follows up on back-ordered parts. Replenishes assigned inventory daily. Makes sure all internal requests for parts are billed on service repair order. Receives payment from retail customers or obtains credit authorization. Ensures that the customer signs all charge sales. Ensures that all customers receive their copy of the invoice. Issues credit for parts returned, ensuring that the original invoice, or its number, is available so that purchase and pricing can be Verified.
Additional Responsibilities and Performance Standards:
Able to obtain a forklift license. Attends departmental meetings. Understands, keeps abreast of, and complies with all company policies and guidelines as written in our company handbook.
PHYSICAL DEMANDS: Will spend eight hours or more a day moving throughout the Parts department. Will stoop, kneel, crouch, crawl, reach, handle, and feel. Will be required to lift up to 70 pounds. Will use hand and power tools and engage in repetitive actions on occasion. Will climb ladders to get parts from shelves.
