VICE PRESIDENT of OPERATIONSShine Associates, LLC has been retained to confidentially search for, identify, and recruit a Vice President of Operations (‘Position’) on behalf of our client (‘Company’), and the position will be based in Portland, ME at the firm’s headquarters.CONFIDENTIALITYShine Associates, LLC has been exclusively retained on this assignment. All materials and discussions are to be utilized for the sole purpose of a candidate’s personal review of the career opportunity.CLIENT DESCRIPTIONOur client, Northern New England’s largest Commercial Real Estate Brokerage firm with three offices in Maine and NH, is a commercial real estate firm dedicated to serving owners, investors, and tenants, blending Maine and New Hampshire market knowledge with a national and regional perspective through their SIOR and CCIM relationships. Founded in 1975, the firm has grown to include more than 40 Portland, Maine, Portsmouth, and Manchester, New Hampshire-based employees, including an experienced brokerage team and highly skilled professional support staff.
The Company offers a deep bench of qualified, professional agents. The partners and experienced brokers of the firm are seasoned experts in every commercial real estate sector, from office and retail to industrial, investment, and multifamily property; and their systemized, in-depth training program ensures that knowledge is shared with each new generation of brokers.VICE PRESIDENT of OPERATIONSReporting to the Executive Partner Committee/CEO, the VP of Operations is principally responsible for the day-to-day operations of the firm’s three New England offices including brokerage support operations, corporate finance/accounting functions, firm level marketing/PR, and oversight of other core corporate functions such as HR, IT, and compliance. All administrative leaders (i.e. ‘dept. heads’), specialized support staff, and other administrative personnel as appropriate will report to this position.DUTIES & RESPONSIBILITIESResponsible for day-to-day operations and oversight of the operations teamSupports the President/CEO and acts with delegated authority as appropriate in the execution of major firm initiativesManages and oversees all brokerage support activities and corporate functionsResponsible for corporate finance and accounting activities, human resources, IT, compliance and other corporate functions with appropriate support staff and/or outsourced resources as requiredResponsible for recruiting, development, and retention of operations staff and works jointly with President / CEO on similar processes for brokersIn conjunction with the President/ CEO and Executive Partner Committee, streamline brokerage workflows and other firm wide processes with direct responsibility for implementation and maintenance of such systems and processesOversight and high-level management of transaction management processes with support of the ‘Top Leader’ and brokerage teamCANDIDATE QUALIFICATIONS
Strong organizational leadership experience, ability, and acumenExperience managing teams of 5-10 administrators and support staff in a corporate environmentFamiliarity with commercial real estate brokerage operations and/or other service sales businesses engaged in direct B2B salesKnowledge and comfort with corporate finance, accounting, bookkeeping, and similar processesExperience and familiarity with marketing, branding, and public relationships (from a support role standpoint)Strong ability to manage complex, fast-paced tasks and delegate responsibility and authority to subordinates and outsourced service providersAbility to empathize with administrative staff, manage their onboarding and training, and be an advocate for personal development of support staff in a sales organizationComfort and familiarity with supporting a professional B2B sales team including ability to navigate conflict and personalities within a commercial real estate brokerageCOMPENSATIONThe Company is prepared to offer a competitive compensation package and benefits.
