Work Schedule: Days and Evenings

Hours: 7:30am to 3:30pm/8:00am to 4:00pm/8:30am to 4:30pm/9:00am to 5:00pm/Monday- Friday, Saturdays based on the needs of the department.

Summary:

Cardiothoracic Surgical Associates (CTSA) Administrative Assistant duties include knowledge of cardiothoracic surgical (CTS) procedures, typing, filing, charge posting, basic computer skills, and registration of patients, administrative reporting, and billing reconciliation, answering telephones, order entry, scheduling inventory and other administrative duties assigned by office manager.

Responsibilities:

EDUCATION AND EXPERIENCE

High School diploma or equivalent and a minimum of five (5) years of office administrative experience required, surgical office experience preferred

OR

Associates Degree and a minimum of one (1) year of office administrative experience required, surgical office experience preferred

For all candidates:

Experience working in a CTS office strongly preferred

Knowledge of coding and billing preferred

Experience with patient registration in an office setting required

KNOWLEDGE, SKILL AND ABILITY

Typing

Computer skills

Proficiency in Microsoft Outlook and Word

Working with an EMR

Skill in maintaining records and pertinent information; maintains timely, complete documentation in other areas of record keeping

Ability to adapt to various software applications

Medical related knowledge

Skill in maintaining effective working relationship with patients, medical staff and the public

Ability to act calmly and effectively in emergency situations

Ability to read, understand and respond to detailed oral and written instructions

Ability to communicate clearly

Ability to examine documents for accuracy and completeness

Ability to prepare records in accordance with detailed instructions

Knowledge of common safety hazards and precautions to establish a safe work environment

Knowledge of medical office clerical procedures

WORKING CONDITIONS

Normal heat, light space, and safe working environment; typical of most office jobs

Occasional exposure to one or more mildly unpleasant physical conditions

Contact with patients under wide variety of circumstances; may also require dealing with anxious, angry or dissatisfied patients

Increased pressure due to multiple calls and inquiries

Interaction with others is constant and interruptive with varying and unpredictable situations. May require working under stressful conditions and some emergency situations

Moderate physical effort required, may engage in activities requiring prolonged standing, walking, close machine work or lifting, pushing, pulling supplies or equipment

Work cooperatively with OR, CVICU, surgeons, equipment reps, physicians, nursing and ancillary support staff

Office setting with travel to other areas within the hospital
