Job DescriptionThe Event Coordinator will be responsible for coordinating logistics for various events, executing both high-level external and internal events, managing vendor relationships, and ensuring the successful implementation of all event-related activities. This position requires excellent communication and coordination skills, a strong ability to multitask, and a passion for creating memorable experiences.
Essential Functions Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
Coordinate logistics for events, including venue selection, scheduling, catering, transportation, audio-visual requirements, onsite management, setup, cleanup and other event-related services.
Liaise with vendors, suppliers, and service providers to secure necessary resources and ensure seamless execution of events.
Oversee the event spaces, ensuring they are well-maintained, properly set up, and equipped with necessary supplies and equipment.
Coordinate and manage a variety of complex and diverse projects concurrently.
Practice professionalism and confidentiality when assisting various internal teams.
Perform related work as assigned by supervisor, including but not limited to other statewide event support.
Other duties as assigned.
Education/Experience/Knowledge/Skills Associate's Degree in appropriate field from an accredited college or university, including or supplemented by appropriate continuing education courses. Bachelor's degree preferred.
Minimum of 1 year face-to-face customer service experience or 6 months of leadership (including clubs, organizations, athletics, military, etc.) and 6 months of customer service experience required.
Bilingual preferred.
Ability to anticipate conditions and plan ahead, establish priorities and meet schedules.
Excellent organizational and time management skills.
Excellent communication skills, both verbal and written.
Some technical and audio/visual experience is highly preferred.
Some budgeting and finance experience optional.
Ability to take direction and work effectively with team members in high stress times.
Ability to be a calming presence in the midst of high stress situations.
Must be able to work a non-traditional work schedule including some evenings and weekends.
