The Harley School, a Nursery through Grade 12 independent school in Rochester, New York with approximately 500 students, seeks a Database Manager. The Database/Billing Manager reports to the CFO and is a member of the business office team. Salary range is $40,000 to $45,000 per year.Responsibilities:60% – The database/billing manager supports all aspects of database management for development and admissions. The database/billing manager is responsible for database records, reports, gift processing, and prospect research.Manage the Raiser’s Edge database and records, including protocol and standards for maintaining biographical updates, processing gifts, preparing mailing lists, management reports and other pertinent information for sustaining a philanthropic programWork with the Controller to ensure timely and accurate entry of gift and biographical information for the School’s donors, alumni, friends, volunteer boards, and other constituent groupsEnsure the completion, priority, and accuracy of prospect research and evaluationOversee and implement the effective use and adoption of new research information services, technologies, and communication toolsProvide updates and data entry to the Admission database, generate reports and mailing listsFollow protocols and administer gift receipt process, including acknowledgements40% – As a member of the business office: secures revenue by verifying and posting receipts and resolving discrepancies; is responsible for billing & collections of all student/family accounts; provides personalized service to Harley families.Bill tuition and other charges.Records and reconciles payments.Develops payment plans and reports for monitoring receivables.Assists in month-end close processesProvides back-up for other business office functionsPosition Qualifications:

A Bachelor’s degree is required as is a minimum of five years of experience in a business office setting, preferably in an independent school or non-profit. Candidates must have significant experience with data entry and database management. Proficiency and expertise with Raiser’s Edge and Excel is strongly preferred. Candidates should possess strong customer relationship skills. Experience working with volunteers and boards is preferred. The ideal candidate is organized and has the ability to prioritize tasks as needed. Qualified candidates will have a strong work ethic, customer focus, interpersonal skills, and communication skills.
