Monday-Friday: 8:00 am-5:00 pm (occasional nights and weekends when needed)Position Summary:

The Admissions Coordinator oversees the following: 1) the admissions process for all applications to the traditional on-campus programs, 2) the preparation of the admission reports, 3) management of primary email for TUG Admissions, 4) planning/coordinating all TUG Admissions campus visits, events, and annual outreach schedule, and 5) provides administrative assistance to the Director of Undergraduate Admissions.Duties & Responsibilities:The mission of these duties is to provide exceptional customer service internally and externally to facilitate a smooth and responsive application process for all applicants, which will contribute to the attainment of the enrollment goals for the TUG Admissions Office and University. The Admissions Coordinator will also oversee communication with prospective students via phone, email, and campus visits. The Admissions Coordinator will assist in coordinating a high volume of outreach/recruiting events and tours. Additionally, this position is responsible for processing all TUG applications, including creating and updating all application files and mailed communication to applicants.Process all TUG applications and documents, including creating and updating files, sending acceptance and file status letters, updating Anthology and Salesforce accordingly, as well as maintaining and updating the physical files.Maintain and operate the Salesforce Data Loader for all inquiry files, test scores, etc.Perform daily maintenance of address verification and duplication software in Salesforce.Coordinate the mailed communication flow for inquired/interested students in collaboration with the data and communication team.Organize, maintain, and order stock of all TUG marketing items, promotional supplies, and paper materials, including but not limited to marketing items mailed to prospective students, items used at fairs and events, items given to prospective students at tours and on-campus events, and folders and other items for the physical files.Organize, maintain, and order office supplies from the business office supply room and Amazon Business ordering, including ordering supplies for the coffee cart and special events.Assist with planning, organizing, and implementing all on-campus visits and events for the undergraduate admissions office, such as Hope After Hours, Early Registration Days, and Preview Days, providing excellent service to visiting students and their families.Oversee the scheduling, planning, and execution of all daily campus visits/tours, group tours, etc.Provide leadership and innovation in the creation, scheduling, planning, and implementation of on-campus events to increase campus visits and campus event attendance.Assist with training for all assigned student workers regarding campus tour procedures, policies, mailings, etc.Oversee the creation of reports for campus visits and events, including assessment and evaluation of visit events, campus visits, and group tours/events.Serve as administrative assistant to the Director of Undergraduate Admissions.Participate in Admissions Office team meetings, training meetings, and team building activities and remain informed of Hope International University’s admission process, campus activities, and opportunities.Employment Standards:Qualifications:

Bachelor’s degree highly preferred with experience in customer service, customer relationship management (CRM), and event planning. Experience using Microsoft 365 applications (Outlook, Excel, and Word).Knowledge and Skills:

Strong written and verbal communication skills, including phone and email etiquette. Strong attention to detail and organizational skills. Ability to maintain a high level of confidentiality. Strong interpersonal skills and creative problem-solving abilities.Mental Demands:

Self-motivation and ability to complete a high volume of repetitive tasks. Ability to work independently and as part of a team.Visual Demands:

Extensive use of computer monitor and proofreading.Physical Demands:

Extended intervals on the keyboard. Ability to lift/move up to 25 pounds.Environment:

Friendly and fast-paced office environment involving regular contact with various departments of the university and prospective students and families.Character:
