Job DescriptionPosition Summary:
The Executive Assistant will provide comprehensive administrative and personal support to the Director, helping to manage both business and personal tasks. This is a hybrid role, requiring strong organizational skills, the ability to work independently, and the flexibility to assist with various needs, including drafting emails, calendar management, travel arrangements, errand running, and other executive-level support.
Key Responsibilities:
Provide high-level administrative support to the Director, ensuring efficiency in daily operationsManage the Director's calendar, email responses, scheduling meetings, appointments, and personal engagementsHandle travel arrangements, including booking flights and travel accommodations and managing itinerariesOrganize and prioritize emails, correspondence, and calls; assist with responses as necessaryProcess health insurance claimsRun personal and professional errands, as neededAssist with event planning, coordinating both internal and external eventsPrepare reports, presentations, and documents as needed for meetingsManage personal tasks such as appointments, household services, and other personal errandsMaintain confidentiality and exercise discretion with sensitive informationProactively anticipate needs and provide support without waiting for directionAssist with any special projects as requiredQualifications:
Minimum of 3 years of experience as an Executive Assistant or similar administrative or management roleHighly organized with excellent time management skillsMust have health insurance claims experienceSelf-motivated, proactive, and able to work independently with minimal supervisionExcellent communication skills, both verbal and writtenStrong problem-solving abilities and adaptability in managing various tasksExperience managing calendars, arranging travel, and handling personal tasksTech-savvy with proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google SuiteAbility to multitask and prioritize in a fast-paced environmentProfessional demeanor with a positive and approachable attitudePrevious experience in healthcare or a similar field is a plus but not requiredBenefits:
