Position Summary

In support of Morehouse School of Medicine’s Vision; “Leading the creation and advancement of health equity,” the Department of Family Medicine is seeking an Administrative Assistant II, Residency Program Assistant.

This position is responsible for providing administrative support to the Program Director, Associate Program Director, and the Residency Program Manager. The Residency Program Assistant provides professional and prompt completion of data entry, expense requests, travel support, program documentation, and meeting logistics.

Minimum Qualifications

Education:

Two (2) years of college education or Associate’s Degree. In lieu of educational requirements, experience may be substituted on a year for year basis.

Experience:

Minimum of one (1) years of related experience. Must type 45 WPM . Must be proficient in Microsoft Office Suite.

Position requires general clerical skills, basic word processing and data entry.

Must be able to type 45 WPM .

Demonstrated communication and interpersonal skills to deal effectively and professionally with faculty, staff, vendors, and the general public.

Ability to communicate effectively orally and in writing.

Must be proficient in Microsoft Office Suite (i.e. Word, PowerPoint, Excel, Outlook).

Preferred Qualifications

Education:

Bachelor’s Degree. Degree must be from a regionally accredited college or university.

Experience :

Two (2) years of experience providing administrative support in a busy office environment

Two (2) years of experience in higher education, undergraduate medical education or graduate medical education, or hospital administration

Strong technology abilities and experience with web-based data systems such as MedHub and ERAs

Job Duties

Description of Job Duty

Assist with residency program training management activities that include:

MedHub data entry and ongoing monitoring and generation of reporting for personnel, evaluation, duty hour/procedure logging, onboarding, curriculum, scheduling, etc.

Annual activities and events, recruitment, budget expenditures and monitoring

Completes administrative tasks such as preparation of correspondence and emails, meeting logistics, filing and record management.

Provides travel and administrative support to the Residency Program Director, Associate Residency Program Director(s), and Residency Program Manager

Provides travel and administrative support to residents

Provides administrative support to residency faculty

Assist with program events, including residency retreats, program/ GME graduation, conferences, weekly didactics, meetings, and interviews

Coordinate program event logistics, including scheduling of rooms/space, audio/visual support, lecture evaluations, catering arrangements, room set up, guests parking, and meeting documents.

Assists Residency Program Manager with electronic databases which includes but not limited to: MedHub, ERAS , ADs, GME track and FRIEDA

Assists Residency Program Manager with the orientation program logistics

Assists Residency Program Manager in the completion of resident processing/credentialing

Enters resident demographic data, schedules, evaluations, and conference attendance in MedHub

Monitors evaluation completion in MedHub and sends reminders

Completes MedHub reporting as assigned

Assists Residency Program Manager in monitoring duty hour logging completion

Recruiting

Assists Residency Program Manager with scheduling interviews and recruitment activities

Coordinates interview logistics, including room reservations, interview meals, and interview reminders

Communicates interview schedule to include faculty members and residents

Assists with website review and updates

Sends correspondence to prospective applicants

Assist Residency Program Manager in representing the program at local, regional, and national events

Orders marketing/promotional materials

Enters data and assists with maintaining program database on current residents and alumni

Maintains applicant and resident files

Assists with the processing of resident licenses

Assists with the completion of documentation for the Annual Program Evaluation and Improvement Plan

Assist in meeting MSM deadlines for all purchases, end-of-the-year closeout etc.

Submit and monitor resident requests for books, travel etc.

Monitor and reconcile requisitions and purchase orders

Participates in GME and Program professional development activities

Stays current on program and GME policies and procedures

Stays current on MedHub and ERAs and ACGME updates, as well as knowledgeable of other web based data systems

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
