Administrative Assistant (Part-time)

The Mesothelioma Center at Asbestos.com (https://www.asbestos.com) is the industry leader for patient advocacy. We are currently seeking to add a Part-Time Administrative Assistant to our team!Position Overview:The Part-Time Administrative Assistant is responsible for building and shipping packages of in-house materials to patients and/or loved ones who have been impacted by an asbestos-related disease. Attention to detail, being able to spot issues outside of standard operation processes, and being able to communicate those are key competencies for this role.
This position is required to be onsite daily from 1:30pm - 5:30pm Monday through Friday.The Day-to-Day:Build standard and custom packets based on requests made by the Patient Advocate team.Use Salesforce Shipping and Slack messaging to receive daily mailing tasks.Coordinate package dropoff with USPS and FedEx before the daily designated pickup times.Ship packages with booth supplies to venues for conferences.Keep the admin workstation stocked and maintain a reserve of standard packets.Maintain inventory and storage of all of our marketing materials, pamphlets and booklets, and shipping supplies.Maintain documentation.Document the completion of shipments.Troubleshoot reasons for returned mailers and work with the Director and/or Project Manager to create solutions.Communicate any issues related to IT, process, or administrative issues related to the packet workflow to the Director and/or Project Manager.Work with Patient Advocates, the PA Director, the PA Project Manager, and Outreach teams to resolve any packet-related issues and mail packages promptly.Work closely with the Project Manager to maintain inventory and shipments of new materials.Take on additional initiatives or projects not outlined here explicitly, as directed by the Director, on an as-needed basis.This role has some budgetary responsibilities related to shipping, logistics of packets, printing of materials, and ad hoc supplies to be reported to the Project Manager.Qualifications and Skills:1+ years of related office experience with some increased level of responsibility.Working knowledge of office equipment (copiers, printers, fax machines) and equipment supplies.Ability to stand for extended periods and regularly lift and move objects weighing up to 30lbs.Familiarity with different levels of mail services, mail carriers such as USPS, FedEx and UPS, and their standard operating procedures.Unquestioned integrity.Agility and adaptability: the ability to function well in a high-paced and dynamic environment.Bonus Qualifications:Certified Notary.Previous experience working with large teams of people.Previous mailroom experience.Familiarity with Salesforce or something similar, a plus!In this role, you’ll play a key part in helping us support patients by managing the assembly and distribution of critical informational and marketing materials.
