Administrative Assistant/Registrar

Position Purpose

Provides a wide variety of complex and confidential administrative and secretarial support, communicating information and assisting and ensuring compliance with department/program policies and procedures.

Essential Job FunctionsRegistration and enrollment of students, Lottery liaison.Assist families with residency verification and other registration requirements.As needed, contact families of students who have not been present in school to encourage school attendance. This may include phone calls, electronic communication, home visits and/or other strategies.Collaborate with other school and district staff involved in these and similar efforts, including other school administrative assistants, family and community engagement staff, and Family Resource Center staff.Respond to student and family questions, including those regarding remote and in-person learning.Assists in planning/scheduling and attends registration/enrollment events and activities.Assists in maintaining documents, confidential files and records for the purpose of providing up-to-date reference for compliance.Answers telephone calls, and provides information and assistance to callers.Serves as liaison with outside organizations.Composes documents and correspondence for the purpose of requesting or providing information, confirming events, etc.Assists the front desk with daily routines.Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.Prepares copies and distributes notices, memoranda or other correspondence for the purpose of informing employees, students, parents, and others regarding activities, events or other work-related matters.Additional DutiesPerforms other related duties as assigned.

EquipmentUses standard office equipment such as personal computers, copy machines, fax machines, and telephones.

Knowledge, Skills and AbilitiesAbility to describe problems, verbally and in writing, to supervisor as required.Ability to establish and maintain cooperative working relationships with others contacted in the course of work.Ability to carry out instructions furnished in written or verbal form.Ability to use personal computers and software applications, including Microsoft Office products.Ability to problem solve job-related issues.Ability to work with a diverse group of individuals.Ability to process paperwork accurately and in a timely manner according to standardized procedures.Ability to maintain confidentiality of information.Strong organizational and time management skills.

Travel RequirementsLimited travel to and from meetings/events will be required.

Qualification ProfileHigh school diploma or equivalent required, Associates or Bachelor's degree preferred.Strong clerical skills and community awareness, or equivalent combination of education and experience. Must be well organized and possess excellent communication and interpersonal skills to interact effectively with students and families. The successful candidate is patient, understanding, and persistent. Bilingual English/Spanish is a plus.
