Job Summary
The Administrative Assistant to the Dean's Office is fundamental in facilitating and overseeing key areas of operation to support the smooth and efficient running of the Dean's Office, departments, support staff, and myriads of programs throughout the college. The administrative assistant is responsible for providing day-to-day administrative, operational, and clerical support to the Dean's Office. This position performs a wide variety of administrative and operational support services, all of which contribute to the efficient and professional operation of the College.
The Administrative Assistant is also often the first point of contact with visitors to the office - taking on the role of supporting students, faculty, staff, and potential students. Their role is essential in the functionality of the College such as maintaining records related to budgets, faculty, and the many events and programs run within the college and university. It is expected that the administrative assistant possesses excellent office technology expertise, proficiency in the Microsoft Office Suite of products, customer service skills, interpersonal behaviors, and management of clerical personnel skills. This individual demonstrates a willingness to continue to learn and to be a team player.Minimum Qualifications
Administrative and Clerical Skills : Proficiency in day-to-day administrative, operational, and clerical tasks.Office Technology Expertise : Strong skills in using office technology, including the Microsoft Office Suite.Customer Service Skills : Ability to provide excellent customer service to students, faculty, staff, and visitors.Interpersonal Skills : Strong interpersonal skills to effectively interact with various stakeholders.Organizational Skills : Ability to maintain records related to budgets, faculty, and events.Event Coordination Skills : Ability to plan, organize, and execute events, including scheduling, logistics, and coordination with vendors.Attention to Detail : Strong attention to detail to ensure all aspects of event planning, calendar management, and other tasks are coveredTime Management : Excellent time management skills to handle multiple events and deadlines simultaneously.Preferred Qualifications
Experience in an Educational Setting : Previous clerical experience working in a college or university environment.Management Skills : Ability to manage clerical personnel and oversee key areas of operation.Communication Skills : Excellent verbal and written communication skills.Problem-Solving Skills : Ability to address and resolve issues efficiently.Multitasking Ability : Capability to handle multiple tasks and prioritize effectively.Experience in Event Planning : Previous experience in planning and coordinating events, especially in an educational setting.Budget Management : Ability to manage budgets, including tracking expenses and ensuring cost-effectiveness.Vendor Relations : Experience in working with vendors, negotiating contracts, and ensuring the delivery of services.Creativity : Creative thinking to design engaging and memorable events.
