Administrative Assistant I

Purpose:
To provide a wide range of administrative support to the Department Head for the School of Business (SOB) and it's supporting elements. Primary responsibilities include, but not limited to:
Management of Department Head's calendar
Coordination and preparation of meeting material and recording meeting minutes
Coordinate and arrange travel for the department head
Prepare requisitions and budget revisions for the School of Business
Coordinate course information and prepare the course schedule for the SOB each semester
Prepare textbook orders for department faculty
Main point of contact for the SOB and will be required to provide customer service in a professional and courteous manner.
Essential Job Functions:
Prepare reports and letters, answer phone calls, sort mail, and assign academic advisors.
Be able to use Adobe, Microsoft Office Suite, and Ellucian Colleague
Coordinate and manage the department budget with supervisor of the department head
Order supplies, record meeting minutes, maintain records, and have general bookkeeping knowledge
Additional Duties and Responsibilities:
Research and compile correspondence and confidential information for faculty, staff, students, and other parties as needed.
Prepare Personnel Transaction Report form (PTR), and new hire paperwork.
Prepare all requisitions and forms for approval of employment for the department.
Qualifications:
Associate degree is preferred but not required
At least two years' experience working in an office management position is preferred but not required
Experience working in an institution of Higher Education is preferred
Knowledge, Skills, Abilities, and Personal Characteristics:
Must have excellent organizational, communication, and social skills
Must be proficient in Microsoft Word, Excel, and have notable skills in processing spreadsheets, proficient in Microsoft Office Suite
Experience in maintaining budgets is preferred.
Physical Demands:
Light sedentary office work
Prolonged periods of sitting at a desk and working on a computer
Able lift 25 lbs.
Occasional off campus duties to represent the institution in an official capacity.
