About This Role: Primary focus is providing administrative support for multiple managers and/or directors in selling organization in order to relieve them of administrative details. Works under general supervision and receives detailed instructions only for new assignments. Your Responsibilities will include: Performs general administrative duties that may include coordinating meetings/calendar management, arranging travel, and ordering/maintaining supplies. Prepares expense reports for selling managers and directors. Schedules appointments and makes travel arrangements. Plans and coordinates meetings and events by coordinating calendars, scheduling catering, ordering audio-visual equipment and working with facilities to ensure room configurations. Assists in the preparation of reports, graphs, and presentations using Microsoft Office tools. Creates purchase orders in Ariba/MyBuy and manages a small number of invoices. Onboards new employees, maintains vacation records, and assist sales team with administrative tasks. Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers. Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis. Willingness to be flexible, assume additional responsibilities, and coordinate activities with co-workers Ad hoc projects as required. Required Qualifications 1 year of experience with Associate's or Bachelor's degree preferred. Proven experience working in a fast-paced organization. Strong communication skills (verbal and written) and interpersonal skills with ability to work across multiple levels of an organization. Strong proficiency in MS Word, Excel & PowerPoint. Strong sense of responsibility and urgency as well as attention to detail. Strong customer-service orientation and professional demeanor. Highest ethical standards. Discretion and sound judgment when dealing with confidential and/or sensitive information.
