Job/Position DescriptionPerforms complex (journey-level) administrative support work. Work involves providing internal administrative support including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. May provide guidance to others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Essential Job FunctionsPrepares and disseminates information concerning agency programs and procedures.Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.Performs general office duties such as filing and maintaining a filing system, answering, and routing phone calls, and ordering and maintaining office supplies.Responds to inquiries and explains rules, regulations, policies, and procedures.Coordinates meetings, conferences, and seminars.Compiles and enters data for charts, graphs, databases, summaries, or reports.May manage and maintain schedules and travel arrangements for managers and directors.May prepare and compile presentation and training materials.May provide guidance to others.Registrations, Licensure Requirements or CertificationsN/AKnowledge Skills AbilitiesKnowledge of office practices and administrative procedures.Skill in the use of standard office equipment and software.Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to provide guidance to others.Initial Screening CriteriaExperienced in office practices and administrative procedures.Experienced in the use of office computers, telephone systems, and software.Additional InformationApplicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/Entities. Males between the ages of 18 and#150; 25 must be registered with the Selective Service.All State Supported Living Center employees are subject to Random drug testing.Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
