Overview
The Assistant Property Manager oversees strategic property operations, ensuring compliance with leases and agreements while acting as the liaison among tenants, vendors, and owners to foster efficient, positive relationships. Key responsibilities include managing tenant accounts, vendor payments, maintenance, and essential services, as well as resolving tenant issues and coordinating service requests. This role also assists with budget preparation, CAM reconciliations, and monthly reporting, tracking the financial performance of a diverse portfolio. Reporting to the Property Manager, the position includes vendor contract management, maintaining Certificates of Insurance, and supporting operational and financial activities across office, industrial, and retail properties.
Essential Functions and Responsibilities
Tenant Relations:
Provide excellent service to tenants by addressing inquiries, following up on maintenance requests and organizing tenant events.Property Operations & Maintenance:
Coordinate maintenance, schedule inspections, process work orders, and manage vendor relationships. Help oversee tenant move-ins and move-outs, ensuring smooth transitions and timely service.Financial Management:
Support rent collection, monitor delinquent accounts, manage invoicing, and process tenant bill-backs. Assist with budgeting, financial reports, and cost control measures.Administrative Duties:
Maintain property files, manage bid proposals and service contracts, and ensure up-to-date Certificates of Insurance as needed. Support the development of tenant handbooks, newsletters, and tenant information databases.Compliance & Reporting:
Ensure regulatory compliance and maintain accurate records. Assist with budget preparation, CAM reconciliations, monthly reporting, and bank deposits as required.Vendor & Contractor Oversight:
Lead regular property inspections, oversee contractor performance, and ensure high standards in janitorial, landscaping, and other contracted services.General Support & Professionalism:
Act as a liaison among tenants, vendors, and building owners, fostering positive relationships. Perform backup duties for the Property Manager or property administrator as needed, maintaining a high level of professionalism.Other duties as assigned
Qualifications/Requirements2 - 3 years of commercial property management experienceRegularly required to travel outside between properties in varying weather conditionsProficient in property management software and Microsoft OfficeSkilled in financial reporting, budgeting, and accounts receivable/payableStrong customer service, communication, time management, and problem-solving skillsKnowledge of property regulations, safety codes, and vendor contracts.Ability to conduct on-site property inspections while traveling between properties in varying weather conditions
