Job Summary:The building administrative assistant performs clerical and administrative support duties to ensure effective office operations, provide excellent customer service and performs specific duties as directed by supervisor.
Essential Functions:
• Promote a positive image of the Farmington Area Public Schools and provide excellent customer service to staff, students and community members.• Performs clerical duties such as acting as building receptionist, typing correspondence, and other items, answering phones and distributes messages, directing calls and visitors to appropriate parties, responding to telephone, voice mail and e-mail communication as needed, filing, copying, processing mail, scheduling appointments, assists teachers and other staff with building needs, implements building visitor procedures to maximize student safety and organizing department information.• Maintains office records and files.• Major job responsibilities may include any of the following:Records and inputs daily student attendance and follow up with parents as needed; Enter grade information and generate and distribute report cards as directed.Answers questions and directs new student registration to on-line registration and/or MARSS department personnel when necessary.Coordinates kindergarten round-up and works with MARSS department personnel regarding updated enrollment.Keep building website updated with up to date information.Greets and assists substitute employees; Rearrange subs in special situations. Reconciles absences on substitute teacher system; prepares monthly report; files appropriate paperwork; Maintain substitute folders; Arranges substitute teachers in special situations; Process timesheets.Creates school activity calendar; maintains facility calendar for special events in building in coordination with facilities department.Financial related (purchase orders, p-card reconciliation, ordering/sorting of supplies, bank deposits, maintaining budget spreadsheets including up to date records).Coordinate class lists and the scheduling of students at end of year.Assist with report cards preparation and distribution.Prepare parent/community information including student handbook, e-news, class rosters, school activity calendar, etc.Assist with state reports and testing as assigned. o Assist principal with hourly time clock procedures, postings and PAF's.Assist with building programs including PTP, student activities and achievements, honor roles, field trips, club activities, Camp Pepin, student fundraisers, etc...See full job description for duties on the attachment.
Qualifications:See attached job description for additional knowlege, skills and abilities required for this position
Minimum of High School Diploma or equivalent.Two years previous clerical experience in office setting preferred.Fluent in English, conversational in a second language preferred.Ability to multi-task and perform clerical duties such as filing, typing, copying, maintaining routine records, and answering the phone.Knowledge of modern office practices, procedures and equipment and computer software programs.Ability to apply correct English usage, grammar, spelling, punctuation and vocabulary. Ability to add, subtract, multiply, divide, use fractions, ratios and percentages.
