ABOUT THE ROLE:
The Real Estate, Facilities and Corporate Services organization is a sustainability focused, dynamic team that delivers an exciting workspace and programs designed to make SCJ employees lives easier. As the
Administrative Assistant,
you will be an integral part of the team supporting multiple individuals in a fast-paced organization. This role requires an energetic self-starter with outstanding interpersonal, verbal and written communication skills who has passion for the work they do, and has a proven track record of delivering exceptional standard of excellence. A high quality of organizational, planning, and problem-solving skills is required, coupled with a sense of urgency, to enable the ability to prioritize and manage many tasks simultaneously and independently.
This is an onsite role in Racine, WI
KEY RESPONSIBILITIES:
Manage workflow including email, if needed, correspondence, and telephone calls, determining priorities & preparing responses without errors and in a timely manner. Data accuracy is critical in this positionAdministrative support duties, such as: calendar management, formatting documents and presentations, mail distribution, answering & returning phone & email inquiries, maintaining files and ordering suppliesCreate and reconcile expense reports and department pro-card expensesLiaise and coordinate meeting logistics with outside companies, guests, and visitorsProcesses all purchase orders and invoices, submits new vendor set-up forms/agreements when needed, archiving of invoice data, monitors slow approvals and researches and rectifies errors when uncoveredManage, process and track program charge backsAssist with all department communications ensuring proper approvals are completed prior to distributionAssist with on & off boarding contractors/employees, maintaining contractor database, obtaining safety and security paperworkRun reports out of financial system (SAP)Assist with preparation of presentations and management reportingSpecial projects as assignedREQUIRED EXPERIENCE YOU'LL BRING:
High school diploma, GED, or equivalent certificate of competency and four years of specific Administrative Assistant experience or an Associate Degree and 2 years Administrative Assistant related work experiencePREFERRED EXPERIENCES AND SKILLS :
Excellent judgment, discreet, ethical and committed to maintaining a high degree of confidentialityComfortable and confident in handling requests by upper managementSuperb organizational skills and problem-solving skills, with the ability to handle varied and numerous tasks simultaneously, sometimes with very little directionPunctual, dependable and dedicated to achieving operational excellence, down to the smallest of detailsAbility to make domestic and international travel arrangements, including passports, visas, etc.Excellent oral and written communication skillsStrong computer skills and knowledge of office technology/equipment. Excellent working knowledge of Excel, Word, Outlook and PowerPointStrong interpersonal skillsJOB REQUIREMENTS:
