Summary

The Department of Public Defense (DPD) is seeking a proactive and enthusiastic

Human Resource Associate

to join our dynamic HR Team! In this Special Duty Assignment (SDA)/Term-Limited Temporary (TLT) role, you will play a vital part in supporting DPD's mission by facilitating essential HR services for our employees. This position offers a unique opportunity to make a meaningful impact within the Director's Office as the HR team innovates to meet the needs of our rapidly growing department.

Reporting to the Human Resource Manager, and in collaboration with a high performing HR team, the Associate will provide administrative support and ensure a warm welcome for new employees joining DPD. Responsibilities include supporting recruitment efforts, managing HR records, and enhancing the onboarding experience for new hires. We are looking for customer service-oriented candidates who demonstrate strong organizational skills, have a drive for high attention to detail, thrive in a diverse, collaborative, and fast-paced environment.

ESSENTIAL JOB FUNCTIONS AND DUTIES include but are not limited to the following:

Recruitment, Preemployment, and Onboarding Support:Assist with posting job opportunities in NEOGOV, the departments applicant tracking system.Schedule interviews, and prepare interview materials, facilitating a smooth interview process.Communicate effectively and promptly with internal and external applicants via phone and email, acting as a liaison between candidates, recruiters, and the agency.Utilize PeopleSoft, NeoGov, Word, Excel, and visual management systems to track recruitment activities, create letters, and generate reports.Coordinate preemployment and pre-boarding activities, tracking progress using project management tools.Support and facilitate the onboarding process, to include new hire orientation, fostering a welcoming environment.Maintain confidentiality regarding sensitive HR issues, including employment decisions, selection processes, and disciplinary matters.Ensure compliance with all relevant Federal, State, and County employment regulations and policies.Records Management Support:Assist in the transition to electronic HR records management by organizing, scanning, and archiving documents using Laserfiche and Content Manager to ensure historical accuracy.Assist in compiling and preparing information for public records requests, ensuring compliance with records retention and destruction procedures.Organize the HR Team's shared drive for document accessibility and regulatory compliance.Track Alternative Work Schedule (AWS) and Telecommuting Agreements, ensuring adherence to HR policies.Administrative Support:Demonstrates and practices cultural sensitivity when engaging with a diverse population.Oversee the HR inbox and calendar, triaging urgent queries and scheduling team meetings to maximize efficiency.Serve as the designated backup for HR Analysts as needed.Reliably answers and returns calls and emails, providing the DPD community authentic support and demonstrating a willingness to assist them.Perform additional duties as assigned to support DPD's mission, adapting to evolving needs.Experience, Qualifications, Knowledge, Skills

Required Qualifications:

Minimum of two years of demonstrated progressive administrative and/or customer service support experience in a business unit or department; prior work in human resources

is a plus.Valid Washington State Driver's License or ability to travel to required destinations within King County.Desired Qualifications:Experience with Applicant Tracking Systems (ATS), such as NeoGov.Familiarity with Human Resources Information Systems (HRIS), such as PeopleSoft.SHRM or HRCI certification, or an AA/BS in Human Resources.Experience working with attorneys or in a law firm.Experience performing HR service delivery in a unionized environment.Direct experience supporting recruitment operations.Knowledge Of:Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, Teams, and SharePoint.Understanding of human resources employment practices and guidelines.Familiarity with diversity, equity, and inclusion principles.Ability To:Provide exceptional customer service with clear and effective oral and written communication.Apply strong organizational skills to manage multiple projects and meet deadlines in a fast-paced environment.Maintain confidentiality and discretion when handling sensitive information.Build positive working relationships with DPD staff and the King County community at large.Conduct research, analyze data, and solve problems effectively.Quickly learn and adapt to new computer applications and software.Demonstrate sound judgment and initiative in decision-making.Create, proofread, edit, and format documents according to professional standards.Have regular, reliable and predictable attendance to support timeliness and follow-through on work items.Supplemental Information

WORK SCHEDULE AND LOCATION: The duties for this position will be a mix of onsite and telecommuting. Onsite and offsite work will be required as needed to fulfill the essential functions of the job. Employees must reside in Washington State and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. Onsite reporting requirements are determined by the departments operational needs and may be adjusted accordingly.

When onsite this position will report to the Dexter Horton Building, 710 Second Avenue, Seattle.

The typical workweek is 40 hours per week, Monday through Friday, 8:00 a.m. to 5:00 p.m. This position is non-exempt from the provisions of the Fair Labor Standards Act and is eligible for overtime.

DPD Policies Outside Work Policy for Administrative Staff will apply to employees, such that you must receive approval from your supervisor before being permitted to engage in outside employment for compensation or volunteer.
