SUMMARY:Performs supportive duties for Office of the President and executive team. Bilingual Executive Assistant is responsible for assisting the President and members of executive team with administrative tasks and projects. This position handles details of highly confidential, critical and sensitive nature, and must function efficiently and effectively in a professional environment. This position is required to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications, support to enhance communications among executive team, and organize and maintain administrative processes. The person selected for this role will also be responsible for interpreting during business meetings and translating or drafting correspondence/reports/letters from Japanese to English and vice versa.
ESSENTIAL DUTIES:Manages the President's schedule to support effective conduct of business by understanding priorities and circumstances. This includes but not limited to scheduling meetings and engagements both with internal associates and external contacts.Manages the regularly held executive leadership team (ELT) meetings by developing agenda through coordination with involved parties, facilitates the meeting, drafts meeting minutes, and distributes follow up materials as required.Manages the President's and other executives' travel arrangements (domestic / international) and proactively coordinates the pre-planning of trips with various internal functions, including arranging appropriate travel, visas, hotels, transportation, meeting agendas and necessary contacts, as well as other information.Facilitates effective communication between clients at technical, business, operations, marketing, legal or political meetings.Interprets and/or converts spoken statements from English to Japanese or vice versa in a range of business settings in either consecutive or simultaneous interpretation, liaison interpreting, or whispering interpretation.Prepares, translates, and edits Japanese written correspondences and verbal communications into English or vice versa.Provides a grammatical, well-expressed final version of the translated text that has been proofread and edited.Supports Director and Office Manager with administration of the Kessaisho/Proposal systems.Ensures that various administrative tasks are performed in an effective and efficient manner, including copying, scanning, reviewing mail, drafting correspondence, screening telephone calls, processing invoices and expenses and shipping samples as needed.Oversees president's budget which includes managing expenses and processing purchase orders for Office of the President and other executives against budget as needed.Prepares reports, memos, letters, financial statements and other documents including HD presentation deck, using word processing, spreadsheet, database, or presentation software.Secures information by completing data backups.Provides historical reference by developing and utilizing a system to manage meeting discussions, corporate documents and reports.Opens, sorts, reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distributionComposes correspondence/reports/letters/memos for own or Presidents' signature including confidential documents.Welcomes guests and visitors by greeting them, in person or on the telephone; answering or directing inquires.Uses tact, discretion, and good judgment in handling sensitive and confidential information.Ad hoc tasks and projects assigned by President and/or General Affairs Director.MINIMUM QUALIFICATIONS
