Position Summary:

We are seeking a highly organized and proactive Member Experience Operations Specialist to join our team. This role is crucial in supporting the Membership Events & Engagement team's backend operations, working closely with the Community Director to provide critical support in logistics, planning, and coordination for community events and programs at a private membership resort. By ensuring that every detail-from member communications to administrative processes-is expertly managed, this role elevates the experience for members and stakeholders and empowers the team to achieve its mission with excellence.

Job Performance Expectations:

Event + Program Administration:

Assist in planning and organizing community events, programs, and activities, supporting the Membership Events & Engagement team in logistics, scheduling, and vendor coordination.Maintain an event calendar with up-to-date information on programming and timelines, ensuring all details are organized for smooth execution

Member Communications + Relations:

Draft polished, engaging communications, including emails, event announcements, event and program descriptions, and guest follow-up messagesServe as a primary point of contact for members regarding event inquiries, ensuring exceptional and personalized service

Administrative, Expense + Budget Management:

Coordinate and manage complex meeting schedules across multiple stakeholders' calendars, facilitating collaboration with other departments to support transparency and integrated event and programming execution.Provide comprehensive support to the Community Director, including calendar management, travel coordination, expense report tracking (ensuring timely and accurate financial documentation), and general administrative tasksMonitor event budgets, assist with financial reconciliation, and support cost management for events and programsMaintain organized records of event plans, guest feedback, and action items to optimize future events and enhance guest satisfactionApply for CtoC programs as needed, ensuring all records are accurately maintained

Continuous Improvement, Reporting, & Presentation Support:

Gather post-event feedback from members and stakeholders, tracking key takeaways to drive ongoing improvements in programming quality and impactContribute ideas for enhancing member experience and engagement, collaborating with the Community Director to identify new opportunitiesAssist in creating insightful presentations and reports for senior leadership, showcasing performance metrics, event summaries, and data-driven content that aligns with resort + membership strategic goals and promotes continuous growth

Job Requirements and Qualifications:

Education & Experience:

Bachelor's degree in Hospitality, Event Management, Communications, or a related field - preferred.3-5 years of experience in event coordination, guest relations, or client services; private membership experience a plus.

Skills:

Highly skilled in written and verbal communication, creating engaging messaging and drafting polished emails, announcements, and follow-ups.Exceptional organizational abilities to prioritize tasks, meet deadlines, and manage multiple details simultaneously.Proficient in Microsoft Office, Google Workspace, and event software; experience with Pacesetter, Swoogo, and Canva Pro a plus.Strong event planning and logistics coordination skills, with proficiency in event management software (experience with Pacesetter a plus).

Physical Requirements -

Must be able to perform physical activities such as, but not limited to:

Full range of body movementsReach, push, pull, lift, and carry objects that may be heavy (40+lbs)Prolonged periods of standing, walking, bending, and twistingWalk on even/uneven/slippery terrainClimb/descend stairs

Working Environment:

This role combines both desk-based tasks in an office environment and on-site event support, subject to outdoor environmental factors. Temperature variations may occur indoors and outside and exposure to inclement weather conditions is necessary.
