Position Summary:
The Associate Director of Admission Operations focuses on developing and maintaining a comprehensive knowledge of University CRM systems including but not limited to Recruit, CAS, and HubSpot including import and export of datasets, applications, forms, building views, fields, and creating reports and analyses for various stakeholders. This position plays a primary role in CRM customization, enrollment communication automation, and CRM training for staff, to support the enrollment goals of Katz.
Position Responsibilities:
Primary responsibilities:
Serves as the subject matter expert in data management between University CRMs, including Recruit, CAS, HubSpot, and external platforms, such as testing or foreign credential evaluation agency portals.Optimizes CRM systems to support the core functions of application processing, recruitment, yield campaigns, and enrollment forecasting.Maintains data integrity of the admissions database and ensures data accuracy by developing methods to check and correct discrepancies.Configures CRM systems to support events, such as webinars and open houses in planning, communication, tracking, and reporting.Collect data metrics regarding communication plans and student response rates, including email, text, and phone calls, to identify future needs.Monitors call center workflow and run analytics.Assigns workload tasks regarding stage, territory, and workload to ensure efficiency.Contributes to the growth and modification of University CRM and Admissions operations by acquiring and maintaining knowledge of new and emerging resources and tools that can assist in advancing office initiatives.Develops standard practices, training guides, and reference materials for new users. Provides ongoing training and quality control for all users.Other Responsibilities:
Collaborates with the admissions team to participate in recruitment and yield eventsReview applications during peak timesPerforms other tasks as assignedExperience & Educational Background:
Qualifications:
Bachelor's degree required; master's degree preferredAt least 3 years of progressive work experience in enrollment management or related fieldsAdvanced knowledge in CRM management systems including Recruit or Slate, HubSpot, and BannerAdvanced knowledge in data analytics and visualization platforms, including Tableau or Microsoft Power BI and Microsoft ExcelOutstanding organizational and communications skillsAbility to manage competing and changing prioritiesSkills & Competencies:
Preferred qualifications:
Demonstrated skills in computer scripting and functional programmingDemonstrated knowledge of STEM programs, current trends, job outcomes, and verbiage for the disciplinesA master's degree in a related field is highly preferred
