Job Description

Purpose of Position:

The Associate Executive Director is responsible for Facilities Management, Support Services, Construction/Capital Management, and Engineering. Able to manage multiple requests in a clinical, construction-oriented environment and is able to partner with multiple stakeholders simultaneously. The position will have extensive interactions with our internal stakeholders and external vendors, Construction, and Facilities program. The Associate Executive Director also functions as the overseeing of multiple departs including but not limited to Engineering, Maintenance, Environment of Care, Construction, and all other duties as assigned.

Responsibilities include the following:

Develop, establish, and implement the philosophy, objectives, policies, and standards of administrative services related to Facilities Management Support Services of Lincoln Medical Center.Collaborate with all levels of the organization, and departments as necessary, to coordinate development and execution of a Performance Improvement Plan ("Pl Plan") and to ensure it is implemented and aligned with the strategic goals.Review and, when necessary, direct revision of administrative procedures and systems to address new business needs, public policy changes, and/or regulatory requirements identified by the hospital or HHC.Ensure that staff competencies meet the hospital's business standards through a system of continuing performance evaluation.Implement workflows, internal policies, and procedures that will maximize the use of the facility for patient care needs. Monitor metrics for improvements in these areas.Direct the preparation of budgets for personnel, supplies, and equipment for all divisions within inpatient operations.Maintain cost awareness in the administration of personnel, supplies, and equipment expenditures for all divisions within inpatient operations.Oversee the utilization of appropriate progressive disciplinary action for staff performance issues.Collaborate with the hospital's Regulatory Affairs and Quality Management Department to ensure that Facilities Management Services adhere to all accreditation standards and government regulations.Review and revise command center and emergency management practices as necessary.Conduct regular staff meetings with staff assigned to each of the Divisions.Attend departmental and hospital-wide meetings as required and ensure dissemination of pertinent information to appropriate staff.Provide the Leadership with necessary monitoring reports.Plan, develop and, when appropriate, conduct training programs to maintain the proficiency of staff in the execution of new or revised processes and/ or systems.In collaboration with the hospital's Human Resources Department, participate in recruitment and retention processes. Ensure all Human Resources regulatory requirements are updated, and maintained, supervisor performs the duties of the supervisor.and/or revised as necessary (i.e. Performance Evaluations, Job Descriptions, Scheduling, Competencies, and Training)Meet all hospital compliance standards and requirements of professional conduct including, but not limited to: (a) annual physical; (b) competency assessments; (c) annual required training, (d) fire and safety training; and other requirements as specified.Develop personal industry knowledge and professional skills and capabilities by attending training sessions and other educational conferences and/ or seminars relevant to the area of specialty.Represent the Leadership at meetings when necessary as directed.Represents the hospital in system-wide initiatives and projects when necessary.Oversees all construction projectsto insure timelycompletion on budgetHandles emergency and special problems in addition to providingconsultation and technicalassistance to staff.Review the opening and closing of all work orders and manage the process flow of the department's call center.Effectivelyreviews reports on Preventive Maintenance, Change Management, and Service work orders.Prepares weekly and monthly departmental reports to supportdata submission to Executive Management.Develops Special Projects as needed, including but not limited to review of needs and planning, budgeting, and overseeing actual work to be performed.Works daily with trade team Supervisors when necessary to resolve administrative issuesCoordinates efforts and cooperates with Departmental Managers and Directors on matters of mutual concern and extends functional guidance and assistance.Performs other relatedduties, as directedMinimum Qualifications1. A Masters Degree with a specialization in Hospital Administration, Health Care Administration, Administrative Medicine or in Public Health when conferred for a program in Hospital Administration from an accredited college or university; and,2. Six years of high-level responsible experience in Hospital Administration, Business Administration, Public Administration or an equivalent field, or as an Assistant to a Hospital Administrator in a position of direct responsibility for operations of a major part or all of a hospital, including substantial exposure in meeting community health needs; or,3. An equivalent combination of training, education and experience in related fields and educational disciplines; and,4. Thorough knowledge of the fundamentals of hospital organization, administration and standards, regulations and laws applicable to hospital operations, knowledge of business and human resources administration principles, management functions, management processes and functions of hospital departments, and ability to direct and supervise personnel.
