Infuse JLL methods and standards with Amazon's to establish consistency across Global Real Estate & Facilities (GREF). Maximize value of facilities operations through focus on life cycle extension, quality assurance, cost control & savings, while delivering a high level of service from all vendor and management partners.
Job Overview / Summary DescriptionReporting to the Assistant Events Manager, the Events Coordinator works closely with internal vendors and key stakeholders to facilitate and support local Amazon events taking place in key buildings within Amazon corporate offices.
Amazon is a fast paced, demanding corporate environment and JLL is here to provide professional, service excellence. The Events Coordinator reports to the regional Assistant Events Manager and responds to customer requests and inquiries to ensure on-site events are executed smoothly and professionally.Responsible for the coordination of resources to ensure spaces are cleaned, set and ready for events. Committed to event related projects such as documenting trends, recognizing opportunities for process efficiencies, and improving policies and procedures related to internal events and spaces.
Primary Duties / Essential Job FunctionsProcessing event requests and corresponding with Amazon customersCoordinating and leading planning and walkthrough meetings with customers and vendor partnersDisseminating information to large audiences, including alerting building occupants and vendors of event-related impactsOn site coverage and troubleshooting during high impact events to ensure successful event operationsOrganizing and compiling event data metricsCreating and maintaining standardized event documentsResponding to and acting on customer feedbackCreates and updates documents to track metrics, clarify procedures, provide information, organize team tasks, and others as needs ariseSupports and maintains good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial and Engineering as requestedAssisting in the planning and hosting of the occasional GREF-related event as neededOther duties as assigned in support of Events Program Manager
Experience / SkillsEssential Knowledge and Skills:Ability and attentiveness to multi-taskInteract with employees, visitors and contractors with poise and diplomacyApply principles of rational systems and deal with a variety of concrete variables in situations where only limited standardization existsInterpret instructions in written, oral, diagrammatic or schedule formPossess initiative to assume additional responsibilitiesSet priorities and meet deadlinesAdvanced competence with a variety of software including MS Word, MS Excel, MS Outlook, and other requested software programsPerform basic business math such as compute discount, interest, percentage and profit/lossCommunicate effectively both verbally and writtenPossess excellent grammar and proofreading abilitiesThe ideal candidate will have excitement for helping to build and maintain event support
Experience3+ years' experience in event coordination or event administrative support3+ years' experience in facilities management a plusMust be proficient with Microsoft OfficeMicrosoft Visio or CAD experience preferredHigh level of accuracy and attention to detailsPositive, professional, customer-service oriented personalityExcellent interpersonal and communication skillsAbility to work independently, at times, with little direction
EducationBachelor's Degree or equivalent 4 years of experience preferred
