The Roper Center at Cornell University is a world-renown data archive with a 77-year history and a mission to collect, preserve, and disseminate public opinion data; to serve as a resource to help improve the practice of survey research; and to broaden the understanding of public opinion through the use of survey data in the United States and around the world. Roper Center is housed within the Office of the Vice President for Research & Innovation (OVPRI) at Cornell University.

The Opportunity

The Roper Center for Public Opinion Research is seeking a detail-oriented Administrative Assistant to join our team. This role is vital to the success of our operations, providing essential support to the archive, membership, and IT development staff. The ideal candidate will be a proactive and organized individual who thrives in a collaborative environment and enjoys engaging in a variety of tasks ranging from financial administration to event coordination.

Overview of Responsibilities:

Financial Administration

Process and oversee the Center's financial activities, including monitoring budgets, processing reimbursements, monthly reconciliation, and stewardship of the invoice process using QuickBooks.Serve as the primary liaison for accounts payable and receivable, ensuring timely payments and resolving discrepancies.Work with Cornell's Shared Service Center to oversee billing, purchasing, and financial reporting.

Administrative Support

Provide high-level administrative assistance to the Roper Center senior leadership, including coordinating schedules and logistics for board meetings and events.Organize shipping and logistical arrangements for professional conferences, ensuring smooth execution.Prepare reports, maintain records, and facilitate communications, including email correspondence and document formatting.

Marketing and Member Relations Support

Play a key role in maintaining member relationships by supporting Salesforce workflows and updating membership records.Assist in the planning and execution of marketing strategies, including facilitating promotional items and supporting content proofing.Occasionally represent the Roper Center at conferences and help develop collaborative opportunities across campus.

Student Workforce Coordination

Coordinate the hiring process for student employees, conduct payroll approvals, and support recruiting efforts.Foster a positive and inclusive work environment for student staff.

What We Need

All applicants must include a resume and cover letter for full consideration.

Associate degree and two to four years of experience in a complex office setting working as an Administrative Assistant or an equivalent combination of education and experience.Exercises discretion, maintains confidentiality, maintain a customer service orientation while projecting a positive and professional presence.Demonstrated experience using sound judgment and problem-solving skills.Must be able to work independently as well as in a team environment.Must be able to effectively and efficiently communicate via email and in person.Must be able to manage competing deadlines and balance conflicting priorities while paying close attention to detail and delivering accurate work products.Requires reasoning, analytical thinking, creativity, and innovation in solving problems that occur day-to-day.Strong organizational skills.Possesses strong computer skills and a familiarity with a variety of internet platforms, Microsoft Outlook, Google docs, Microsoft Office, Trello, Slack, or other similar programs. Ability to learn new programs quickly.Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

Experience with QuickBooks financial record keeping software packages.Knowledge of Cornell University financial and human resource systems, policies, and procedures.Experience working in an academic or research support environment.Experience with Salesforce relationship-management software platform, or ability to learn.Experience and/or interest in working with undergraduate and graduate students.Experience in event management and logistics.

This position is eligible for a hybrid work arrangement after a 90-day training and onboarding period, where the successful candidate will be expected to work fully onsite. After training and onboarding, employees typically perform this role remotely 1 day per week and on-campus 4 days per week.
