Part Time Administrative Assistant

GENERAL PURPOSE: Provides administrative support to a variety of departments and managers.
ESSENTIAL JOB FUNCTIONS:
Sales
Provides administrative support to sales staff as needed.
Prepares sales presentations by compiling data, and developing presentation formats, and creating materials.
Provides sales vs. projection results by preparing and forwarding sales tracking reports.
Prepares and distributes monthly reports.
Coordinates internal sales meetings and client lunches.
Facilitates mailings for sales team.
Completes special assignments for sales team as requested.
Administrative
Coordinates community service projects.
Coordinates birthday card mailings.
Makes restaurant reservations and/or orders food for internal meetings.
Arranges travel for managers and other employees.
Sorts and distributes mail. Prepares outgoing mail and delivers it to the Post Office.
Coordinates office supply purchases and maintains inventory.
Fills in for the receptionist as needed.
Assists with job costing as needed.
Completes special assignments as requested.
Files shipping documents.
Safety/Quality
Maintains ISO documentation
Arranges client quality visits
Maintains employee training records.
Assists with third party audit visits.
Summarizes notes from Safety/Quality best practice conference calls and sight visits.
Maintains security access card files and distribution.
Payroll
Edits payroll data in time-keeping system on a daily basis.
Maintains weekly spreadsheets including paid time off, attendance, and payroll hours.
Summarizes payroll hours on a weekly basis including vacation, personal time, attendance bonus hours, and holiday reporting.
Distributes payroll checks.
Prepares/distributes payroll communication notices.
Completes annual payroll projects including benefits spreadsheets (life insurance, health insurance, vacation, personal days, holidays).
Files confidential payroll information.
Assists employees with payroll questions.
Works with Human Resource Manager to resolve payroll issues.
Human Resources
Maintains employee personnel files.
Creates new employee orientation packets.
Copies forms and other documents as needed.
Assists in the organization of interdepartmental paperwork.
Coordinates the anniversary lunch program.
Coordinates the summer picnic and other special events.
Performs other job duties as assigned.
QUALIFICATIONS:
Must have high school diploma or general education degree (G.E.D.). College degree preferred.
Must have minimum three years' administrative support experience.
Must be proficient in Excel, PowerPoint, Visio, Word, and other Outlook products.
Must be well-organized and able to manage multiple tasks.
Must have excellent interpersonal communication skills.
Must be efficient and effective.
Must be able to maintain confidentiality of company information.
Must have the ability to read and write complex instructions, correspondence and memos.
Must be able to maintain good attendance.
Must be able to perform essential functions of job, with or without reasonable accommodations.
