Job Description:

School of Nursing at Madison College is seeking an

Administrative Specialist

to join the team in a Limited Term Employment position.

The

Administrative Specialist

will manage daily operations and office procedures for the School of Nursing, serving as the primary point of contact for phone calls, office inquiries, and email communications. This role includes assisting with student registration, providing support to part-time faculty, onboarding new staff and faculty, and offering direct support to students in the School of Nursing.

General working hours are Monday - Friday, 7:30am - 4:00pm.

The Administrative Specialist is an LTE position through June 30th, 2025.

Essential Responsibilities:

Provides student service actions using the PeopleSoft Student Administration System, including class registration, student schedules, student account creation, and troubleshoots student related enrollment issues.Assists with tracking of clinical requirements for School of Nursing Students. Tracks ADN, PN, and high school nursing assistant population; collects data to share with internal stakeholders.Provides Administrative support to the RN Apprenticeship program and Business and Industry programs for the School of Nursing. Organizes documentation for students, assists with registration, and assists with student tracking.Has primary responsibility of customer service for School of Nursing during working hours including phones, general office inquiries, and the main person who responds to e-mail from the School of Nursing inbox.Assists with school communication; assists with school marketing/promotion needs, helps organize and gather materials for meetings and events to ensure smooth operation.Main point of contact for 25 live room reservation system, assists with room scheduling for nursing labs, conference rooms, and events for School of Nursing.Takes notes at all associate degree Nursing, Practical Nursing, and Nursing Assistant meetings. Maintains minute in appropriate SharePoint site and sends out minutes when complete. Takes meeting minutes at other meetings as necessary.Provides administrative support for projects to the Dean and Associate Dean of the School of NursingMaintains a commitment to the college mission, vision, and values.Other duties as defined by department, college, or officials.Knowledge, Skills & Abilities:

Skill in communicating effectively, both orally and in writing.Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.Demonstrated organizational skills, attention to detail and logistics. Ability to work independently as well as in a team environment and use sound independent judgment.Ability to manage difficult or emotional situations using tact, sensitivity, candor, and directness.Minimum Requirements:

Associate degree or equivalent working experience. * Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.One (1) year work experience directly related to the skills required for successfully performing the duties of this position.
