Position SummaryThe
Event/Concessions Coordinator
will include both event-driven and concession-driven responsibilities.
Responsibilities related to events will include the overseeing all aspects of the events taking place in the venue including developing, coordinating, and supervising all event related activities key to the operation of the facility including but not limited to maintaining security staffing plans, labor management, collection and distribution of event information from promoter/show representatives, customer service representation to our guests and logistics of departmental activities relating to events. The responsibilities related to concessions will include the effective management and running of venue concessions operations including event planning support, inventory control, product ordering, cash control, compliance with alcohol service polices, guest service, and employee/volunteer training and supervision. The Event Coordinator must be available to work and event-driven schedule including evenings and weekends.
This role pays an hourly rate of $17 to $20.

ResponsibilitiesEssential Job Functions:
Act as liaison for the building on event day with all parties involved in the event
Communicates all event information to the appropriate Departments and staff
Communicates in a timely manner with each Department Head regarding specific needs and information for each event
Coordinate event requirements with caterers, clients, and building staff
Prepare event data sheets for building staff prior to each event
Present event reviews in weekly wrap-up meeting with all building staff and participate in event previews/reviews in weekly Production staff meeting
Complete monthly inventory of concessions products
Responsible for ordering or shopping for products in a timely manner to ensure product availability in concessions for shows
Assist in shopping for backstage catering
Responsible for reviewing cash change needs for concessions and putting in change requests
Ensure all policies and procedures related to health and ABC regulations are followed
Assist Ynot Wednesday Beverage Supervisor with replenishing stock during event and ordering after event to ensure product availability for the next week
Serves as a resource for POS applications, training and hardware problems
Coordinates with all preferred caterers including supervising load in/out and use of any building equipment
Assist with the scheduling of all house and area managers, EMT, security, and volunteer ushers for all events by preparing Master Event Calendars
Support the Office of Cultural Affairs to coordinate their rotating art gallery
Assist Volunteer Coordinator with tasks as assigned
Serve as Manager on Duty as required by General Manager
Executes other operational duties as assigned
Qualifications
4-year degree from a college or university preferred
One year experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
Ability to work flexible and sometimes demanding schedules (including nights, weekends, holidays and extended hours both inside and outside)
Experience with Microsoft Office products, CAD and Volgistics software preferred
RSVP/TIPS training or the ability to obtain preferred
Demonstrated ability to function in a fast-paced, high-pressure environment
Must be able to sit, stand, or walk for long periods of time (minimum of 4 hours)
Must be able to lift up to 40 pounds
