Position Summary:We have an exciting opportunity to join our team as a Program Coordinator. In this role, the successful candidate with oversight and direction from the Fellowship Directors Associate Fellowship Directors and Program Manager, the Program Coordinator is responsible for the operational and financial management of the ACGME accredited fellowship training programs Musculoskeletal Imaging and Neuroradiology with a possible addition of a non standard fellowship program The position requires a comprehensive and detailed understanding of national accreditation policies ACGME and hospital policies as well as a high degree of initiative and independent judgment.

The Program Coordinator will continually assess and direct a wide range of programmatic issues including long range planning recruiting trainees developing projects analyzing administrative workflow maintaining databases communicating with faculty and trainees regarding a range of issues and managing internal and external program relations In this role the successful candidate is responsible for providing administrative oversight of the ACGME accredited fellowship programs

Job Responsibilities:

Provides support and meets regularly with the Fellowship Directors ensuring compliance with ACGME and GME policies office management issues and activities and the status of projectsSupports the Fellowship Directors and Associate Fellowship Directors to ensure compliance with all ACGME requirements including

WEBADSAnnual Program Evaluation APE and Clinical Competency Committee CCC Meetings

Composes meeting minutesEnters information in WebADS with final approval by the Fellowship Director

SurveysPoliciesGME Proposals

Provides both administrative supervision and support to fellows Acts as a liaison between fellows and hospital administration when necessary. Establishes relationships and acts as a liaison to other Hospitals internal departments and divisions regarding fellow recruitment orientation annual program Affiliation Agreements and external rotationsOversees and facilitates trainee on boardingOrganizes trainee departmental orientationInforms fellows and trainees of inter and intradepartmental policy and procedure changes with assistance from the GME officeTracks reports and ensures compliance with procedures regarding licensing moonlighting annual contracts and credentialing of traineesDevelops implements and oversees the maintenance of e filing record keeping distribution of materials and other types of office/program systems Evaluates and standardizes office procedures and effectively troubleshoots and resolves issuesMaintains databases with fellow and faculty data including New InnovationsManages the evaluative processes of the trainees program faculty and rotationsEnters and distributes coverage schedules through AMION and New InnovationsAssists in the planning and organization of fellow related departmental annual events including recruitment orientation graduation as well as various meetings and program related eventsOrganize meetings and prepare and distributes materials as appropriateAssists in maintaining/updating the fellowship programs websitesMaintains the ERAS Electronic Residency Application System Thalamus and RFA Radiology Fellowship Application database and oversees its processes during the Fellowship Recruitment seasonPerforms all NRMP National Residency Matching Program Match responsibilities and corresponds with newly matched fellows about requirements and process for appointment to the hospitals Assists with quota review and rank list entry and certification in NRMP MatchVerifies current and graduated trainees status and activities as neededAssists in the preparation for ACGME Self Study Site Visits and internal/special reviewsAssists in monitoring fellows duty hoursReceives inquiries from fellows and applicants and triages as necessary to others within the department or in other hospital/PHS departmentsPerforms other duties as assigned by the Fellowship Directors and Program ManagerProvides support to special projects and initiatives of the Vice Chair of Education Associate Vice Chair of Education and Fellowship DirectorsRADGME liaison for CLER and radiology housestaff hospital quality improvement initiativesManages monitors and reports on the training program annual budgetOversees fellow reimbursement for travel and other approved GME and departmental expensesProvides administrative supervision and guidance to fellows regarding administrative issues due dates and deadlines

Minimum Qualifications:To qualify you must have a Bachelor's degree or equivalent in business administration healthcare administration or related field or an equivalent combination of education and relevant experience Proficiency in using various Microsoft Office applications such as Word Excel Access PowerPoint and Outlook Familiar with Internet applications Effective oral written communication interpersonal skills Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers Ability to work within a team environment as well as independently Time management skills and ability to work well under pressure Ability to Project/Program manage and to multi task while paying attention to details

Preferred Qualifications:Familiarity with GME operations is preferable

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 - $72,870.60 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
