The Project Administrator provides crucial day to day support for the projects sold and designed by the Estimating and Project Management teams and implemented by the Project Managers, Superintendents, Foremen, and crews. This work makes up the bulk of Fiore & Sons’ success and profit, so smooth administration is of paramount importance. The Project Administrator accomplishes this support through preparation and maintenance of project documentation, engagement in and monitoring of the progress of each project, and timely invoicing of the vendors to ensure maximum profitability. As changes are made, the Project Administrator also assists with analysis of project costs and budget, as well as assisting with the submission and processing of change orders. A great Project Administrator also answers questions from the field as they come up and helps to ensure everything runs as planned.
TOTAL COMPENSATION
$28.56 to $52.36 per hour
ESSENTIAL DUTIES AND RESPONSIBILITIES
Works closely with Project Managers, Estimators, Superintendents, Foremen, Subcontractors and Vendors to support project planning and coordination.
Proactively assist Project Manager and Site Supervisors to solve sensitive problems and service coordination.
Proactively identify and alert potential delivery and pick-up problems before they result in service issues.
Receive and manage project-specific subcontracts and purchase orders to tie to monthly invoices and pay apps.
Assist Project Managers, Superintendents, and Foremen to ensure that all material purchases and deliveries are properly documented and completed.
Maintain project records and document information, including job numbers and scopes of work, from stakeholders, drivers, vendors, and subcontractors and reconciles them in B2W Estimate and Track systems.
Ensures that all project material requisitions meet and are consistent with project budgets.
Supports and assists the Project Management and Accounting departments with cost tracking and project billing.
Review and approve all project-specific accounts payable invoices.
Assist with project invoicing, complete budget summary reports, and tracking project budgets and costs.
Assist with process improvements and development of internal processes, including technical systems, related to the department.
Assist with administrative functions and duties as required by the department and maintains job files.
Perform other duties as assigned.
QUALIFICATIONS
Required:
Initiative, ownership, and follow-through, with a can-do attitude and the ability to effectively prioritize.
Strong attention to detail and organizational skills, including an obsession with accuracy.
Solid interpersonal and communication skills to communicate effectively with all stakeholders, including:
Other PA team members
Project Managers
Estimators
Foremen and field workers
Company leadership
Clients and vendors
Existing knowledge and experience with accounting, accounting principles, and the way information impacts project flow in financial systems.
Project accounting is a huge part of the role.
Highly analytical mind and strong data management and MS Excel skills, especially:
To be able to extract job cost and related reports and analyze.
To be able to extract and understand project information from estimating software.
Strong multi-tasking ability, given multiple simultaneous projects and the requirement to jump consistently between projects and stakeholders and deal patiently and accurately with constant interruptions.
Flexibility, adaptability, and coachability, including the ability to adapt to different teaching and management styles and respond well to critiques and process changes.
Preferred
Knowledge of various job-related software, including ViewPoint, B2W, etc.
Ability to read and interpret project documents, specifications, schedules, and drawings.
Construction experience, especially in heavy civil arenas
PHYSICAL DEMANDS
Ability to sit, stand, or walk for extended periods of time, including uneven terrain on work sites when needed. Ability to bend, kneel, crouch, reach, twist, list, carry, push, and/or pull 25 lbs. occasionally for filing and storage access, etc. Ability to maneuver paperwork and use a computer screen for extended durations.
WORK ENVIRONMENT:
A potential mix of office-based and mobile-office-trailer-based work, with far more time generally spent in the office, with varying temperatures and extended screen time.
