Tepa Companies is an equal-opportunity employer and encourages diversity in the workforce.LOCATION: HYBRID- Kansas City, MOABOUT THE JOBThe Tepa Companies are seeking a Project Controls Assistant (PCA) to administer, integrate, and support the work of Tepa's projects and leadership. This includes project/budget setup and reconciliation, subcontractor paperwork, development, implementation, and submission of schedules, invoices, and administrative assistant duties as assigned by senior leadership. The PCA position requires a highly detailed, self-driven individual capable of monitoring and meeting strict deadlines with strong organizational skills.Job Functions:Assists the Business Unit Project and Program Managers with close-out of projects.Supports Corporate departments with administrative duties and invoice tracking.Coordinates and compiles input from team members for various weekly reports.Supports senior staff and ensures satisfaction of project billing milestones and back office financial project setup.Provides financial data and reports as requested by Project Managers.Ensures both company and client invoicing and billing standards are met throughout projects.Maintains classifications and rates assigned to the project.Develops and submits project invoices for a variety of government clients.Develop and submit required documents for monthly reporting.Assists Project and Program Managers with the setup of project budgets within back-office systems.Assists Project and Program Managers with the processing of job cost changes and budget updates.Assists Project and Program Managers with monitoring man-hours and expenditures throughout the course of the project to determine progress, and cost per deliverable, and provide weekly cost summary reports.Supports Business Units by tracking project financials and schedules in support of Project Managers.Conducts general clerical duties as required (typing, filing, meetings, etc.); Prepares memos, forms, and letters as needed.Files electronic and hard copy documents via DocuSign and other methods.Ensure contracts and other agreements are properly executed and filed.Ensures accounting has necessary contract documents and notifications for project maintenance and timely payments.Assist and remind Project Managers of upcoming project financial deadlines.Track invoice payments from clients and remind clients if payments are past due.Performs other duties as assigned.WHAT WE'RE LOOKING FORAssociate's degree or equivalent certification in a related field (Finance, Business Management, Management)3-5 years working experience in a similar roleProficiency with an Enterprise Resource Management system (Deltek, Unanet, etc.)Strong proficiency in Microsoft Office Excel (including various calculation formulas)Proficiency in Microsoft Outlook and Word as well as Adobe AcrobatOrganizational management skills to handle volume and accuracy of documentationIntermediate proficiency in oral and written communicationAbility to work independently and with a teamAbility to apply judgement, analyze problems and provide solutionsProactive communication styleExperience submitting invoices to various Federal, State and Local governmentsGeneral knowledge of Federal contract invoicing (WAWF, IPP)
