Job Summary
:
This person is responsible for providing administrative support for designated individuals within the Development group. Overall responsibilities include managing calendars, arranging travel, preparing and processing expense reports, scheduling and coordinating meetings and events, preparing presentations, phone coverage, typing, filing, copying, printing, distributing documents, and organizing electronic data rooms.
Essential Job Functions
:Manage calendars and schedules for executives as requestedOrganize and coordinate internal and external events, meetings, and conference calls, manage meeting arrangements as appropriatePrepare internal and external presentations, invitations, and other marketing materials using PowerPointInteract with external constituents by phone and in person as needed to schedule meetings, respond to correspondence and answer inquiriesCoordinate travel arrangementsPrepare and process expense reportsAssist executives in organizing office files, business cards, and other business resources and tools as requestedProvide general administrative assistance, including filing, copying, printing, and distributing documents; sort and deliver departmental mail dailyProvide support for mailing projects, including address labels, proofreading, printing, and assemblyManage and order supplies, and ensure common areas (conference rooms, kitchen, copiers, etc.) are well-maintained and functionalProvide typing support from digital or hard copy marked-up draftsProvide phone coverage for assigned individuals and back-up other Administrative Assistants as necessaryPrepare and organize electronic data sites for multiple projects
Education/Experience/Required Skills:Associates degree or 3-5 years of experience as an administrative assistant is requiredBachelor's degree preferredExtensive knowledge of Microsoft Outlook, Word, Excel, and PowerPointAbility to work in a multi-project environment with limited supervisionStrong written and verbal communication skillsStrong organizational skillsKnowledge of grammar, punctuation, and letter compositionHigh personal standards for performance and integrityStrong sense of confidentialitySkilled at managing and prioritizing multiple tasks while handling assignments from various sourcesEffectively collaborates with others and excels in a team-oriented environmentDemonstrates a 'can-do' attitude with a willingness to take on projects of any size and see them through to successful completionProven ability to work efficiently under pressure and meet tight deadlines in a dynamic, high-demand work environment.Consistently meets deadlines and delivers high-quality work with minimal supervision. Demonstrates reliability by being punctual, adhering to work schedules, and following through on commitments
