Description
The International Emerging Stores organization is looking for a flexible, proactive, multi-tasking Executive Assistant who wants to be part of a collaborative, innovative, customer-obsessed, multi-functional team. We are looking for someone who is motivated by helping leaders and their teams operate with greater efficiency. The position is based in Seattle, WA.
The Executive Assistant will provide high-level administrative and executive support to two Level 8 directors in a fast-paced, cross-functional, and cross-cultural environment. The successful candidate will be a proactive, flexible, and organized individual who can effectively manage multiple priorities, coordinate complex schedules, and serve as a strategic partner to the directors. This role requires excellent communication skills, attention to detail, and the ability to work effectively with stakeholders across the organization. A high level of integrity and discretion in handling confidential information is crucial.
Key job responsibilities
Manage the daily calendars and schedules of the two directors, including arranging meetings, coordinating travel, and ensuring optimal time management
Manage the directors' travel schedules, including booking flights, hotels, and ground transportation, and ensuring all travel arrangements are made efficiently and cost-effectively
Process and reconcile the directors' expense reports, ensuring compliance with company policies
Organize and coordinate team events, offsites, and other functions to foster collaboration and morale
Provide administrative support, such as drafting and proofreading correspondence, managing expense reports, and organizing meeting materials
Act as a liaison between the directors and various stakeholders, including cross-functional teams, regional offices, and external partners
Anticipate the directors' needs and proactively propose solutions to streamline their workload
Assist with special projects and initiatives as needed, providing research, analysis, and recommendations
Maintain confidentiality and discretion when handling sensitive information
Contribute to a positive and collaborative team environment
A day in the life
Reviewing the directors' calendars and coordinating their schedules, ensuring there are no conflicts and all meetings are properly scheduled
Preparing agendas and materials for upcoming meetings, and following up on action items
Communicating with cross-functional teams and regional offices to gather information and facilitate decision-making
Drafting and reviewing correspondence, such as emails, presentations, and reports, on behalf of the directors
Researching and providing recommendations on new initiatives or process improvements
Addressing ad-hoc requests from the directors and prioritizing tasks to ensure timely completion
Maintaining the directors' expense reports and other administrative records
Fostering a positive and supportive work environment by anticipating the directors' needs and proactively offering assistance
Basic Qualifications
5+ years of senior level leadership support, or 3+ years of Amazon experience
High school or equivalent diploma
Experience with Microsoft Office products and applications
Preferred Qualifications
Experience leading process improvements
Experience working with large global teams
Experience in a fast-paced, high-tech company
Experience with domestic or international travel coordination

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $66,800/year in our lowest geographic market up to $142,800/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company.
