A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities, including but not limited to:
Handle sensitive information in a confidential mannerAssist with tracker on special projects to include follow up with inter departmental tasks as well as follow through on ownership of tasks.Take accurate minutes of meetingsMaintain computer and manual filing systemsBook conference calls, conf rooms, couriers, etc.Write letters and emails on behalf of other office staffCarry out administrative duties such as filing, typing, copying, binding, scanning, etc.Contribute to team effort by accomplishing related results as neededMaintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of suppliesPrepare and monitor invoicesHandle multiple projectsSubmit and reconcile expense reportsProvide information by answering questions and requestsAnswer and direct phone callsOrganize and schedule appointments and meetingsMaintain contact listsProduce and distribute correspondence memos, letters, and formsAssist in the preparation of regularly scheduled reportsRequirements and skills, including but not limited to:
Working knowledge of office equipment, like printers and fax machines.Experience in MS Office (MS Excel in particular).Excellent time management skills and the ability to prioritize work.Attention to detail and problem-solving skills.Excellent written and verbal communication skills.Strong organizational skills with the ability to multi-task.At least 2 years of experience in the field or in a related areaHigh school diploma or equivalent; college degree preferred
