Job Summary
This role is responsible for providing a wide range of administrative support for the Board of Trustees (BOT). Responsibilities include maximizing the effectiveness of interdepartmental operations processes and communications. The ideal candidate will serve as a liaison with various executive offices and other external stakeholders and advise on policy, procedural an operational issues of the office of the Board of Trustees. This important role will facilitate communication, plan events, draft and edit various documents, schedule meetings and manage calendars. Duties also include managing special projects involving independent research and collaborating with all levels of internal management and staff. Engage in budgeting and controlling costs in partnership with Directors of Financial Affairs. This positions represents the Board of Trustees office and the University and must do so in a courteous and professional manner. Confidentiality and discretion is critical in all matters.
Responsibilities and Duties:Exercise discretion and independent judgment to collect and analyze inforation requests and identify trends to create operation efficienciesConserve BOT's time by reading, researching, and routing correspondenceRespond to non-routine inquiries and issues from internal and external sourcesDraft and edit communications; conduct research and prepare reports and presentationsRepresent the BOT at meetings, functions, and eventsMaintain calendars, schdule complex meetings, prepare agendas, arrange complex national and international travel, and ensure support materials are prepared and availableDevelop, implement, and maintain/improve processes related to administrative operations to ensure compliance with University policies and proceduresPlan and execute the logistics of programs, projects, workshops, events and presentationsMonitor operating budget and maintain financial records for administrative supportCreate, update, and maintain databases, websites, and mailing listsWhat We're Looking For:
Bachelor's degree in Communications, Business Administration, Management or a related fieldTwo to three years of experience in a high-level administrative support roleConsideration will be given to an equivalent combination of required education and related work experienceSkilled in using discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomesAbility to handle frequent interruptions, prioritize tasks, meet deadlines, and maintain confidentialityStrong organizational and time management skills and attention to detailAdvanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, web conferencing tools, etcSkilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needsSkilled in interpreting policies and procedures to proactively resolve issuesSkilled in identifying problems, generating ideas for improvement, and recommending or implementing solutionsSkilled in using discretion regarding when to involve the BOT, when to resolve issues independently, or when to engage othersAbility to make decisions quickly and adjust as needs arise in a high-pressure environmentExcellent written, verbal and interpersonal communication skillsWhat We Want You To Know:
