Job Summary
The Executive Assistant will oversee administrative operations for both Global Partnerships and Programs (GPP) and the Office of Global Partnerships (OGP, one of five units under the larger GPP umbrella). In this role, you will directly maintain the calendar of GPP's Vice President and act as the office manager for GPP and OGP, which are co-located in Hovde Hall. Given the numerous international stakeholders, both internal and external, with whom the Executive Assistant will be liaising, it is essential that you have a demonstrated ability to work across cultures, in a professional and respectful manner, conscious of protocol and cultural norms and expectations.
What You'll Be Doing:Conserve senior leader or executive's time by reading, researching, and routing correspondenceDraft and edit communications; conduct research and prepare reports and presentationsMaintain executive's calendars, schedule complex meetings, prepare agendas, arrange travel, and ensure support materials are prepared and availableExercise discretion and independent judgment to collect and analyze information requests and identify trendsRespond to non-routine inquiries and issues from internal and external sourcesDevelop, implement, and maintain/improve processes related to administrative operations to ensure compliance with University policies and proceduresCoordinate the logistics of various programs, projects, workshops, events, and presentationsMonitor operating budget and maintain financial records for administrative support operationsUpdate and maintain databases, websites, and mailing listsMay mentor and train lower level support staffWhat We're Looking For:
Bachelor's degree in Communications, Business Administration, Management, or a related field1 year of experience in a senior or lead administrative support role or equivalent experienceIn lieu of degree, an equivalent combination of education and experience may also be considered. (Associate's + 3 years of experience; HS/GED + 5 years of experience)Excellent written, verbal and interpersonal communication skillsAbility to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentialityStrong organizational and time management skills and attention to detailComputer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needsSkilled in interpreting policies and procedures to proactively resolve issuesAbility to identify problems, generate ideas for improvement, and implement or recommend solutionsAbility to use discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomesAbility to use discretion regarding when to involve the senior leader or Executive, when to resolve issues independently, or when to engage othersWhat We'd Like You to Know:
