Salary Range: $45,000 - $52,000City Experiences is seeking a National Tourism Sales Administrator for our business operations.About You:This person will be adaptable, dynamic, and embody City Experiences’ RESPECT Service System.About the Opportunity:The successful National Tourism Sales Administrator will handle all duties related to the management of administrative and sales support as guided by the National Director of Tourism.Essential Duties & Responsibilities:Sales/Guest Service:Following a client booking, takes the lead on handling all service-related matters within 30 days of cruise date, including adjusting guest counts, requesting payments, and working with regional teams to relay any specifics related to dietary constraints, mobility issues, or other special requests.Collaborating with Account Managers to address individual guest's complaints, with a focus on complete resolution and guest satisfaction.As directed, creates reservations for tourism groups, which are then approved by an account manager or leadership for distribution.When necessary, works in conjunction with leadership to escalate any Indy guest issues that can’t be immediately resolved.As necessary, processes gift cards due to unhappy guests or for charitable reasons.When needed, works with the HCC to contact guests if a cruise is cancelled for any reason.Works with regional leadership and sales support team to promote and drive the high return of cruise surveys.Group Accounting Support:Oversees all invoicing requirements, including proper tracking and timely submission of invoices received from vendors.Effectively interacts with corporate accounting departments, ensuring that guidance is followed for timely payment of invoices.As requested, transfers payments between orders using the Account Request process outlined in Salesforce.Works with National Tourism Director to process all refund requests, following guidelines to set appropriate expectations with the guest on resolution time.Creates an effective accounts receivable system, ensuring all payments are received before the cruise date.Regularly audits group payments due, ensuring no cruise boards without payment in full.Communicates effectively with national leadership if full payment is not received before a cruise.For direct bill and invoiced clients, ensures all payments are received within the parameters given to the client.Assists account management team with customizing invoices as necessary for clients.Additional Requirements:Uses technology to track and process donation requests, working alongside regional leadership to set guidance on approval threshold.Becomes proficient in the Anchor Reservation System and Salesforce CRM system.Regularly audits group agreements to ensure account managers follow proper guidance related to charges and costs for all events.Works with regional teams to ensure any tourism business booked on public dining cruises is suitable based on pre-existing reservations.Assists the regional team with floor plans, ensuring all mixed groups fit on a particular boat or deck.Assists the regional team in ensuring seats on vessels before boarding and greeting groups on the pier when requested.Requirements & Qualifications:High School Diploma or equivalent required.Minimum of one (1) year of previous related work experience required.Associate degree preferred.Communicate effectively in oral and written form.Maintain a high level of organization.Be detail-oriented.Handle multiple tasks/projects simultaneously.Focus on guest needs.Meet deadlines.Establish and maintain effective working relationships as required by job responsibility.Listen effectively, assess the situation, determine relevant issues, and suggest solutions.Work with Microsoft Office applications (especially Word, Excel).About Us:City Experiences’ passion is to provide amazing experiences on land and water.
