Position Overview

The Illinois Department of Revenue (IDOR) is seeking to hire an Office Coordinator to serve as the Division’s Contractor Badging Compliance Coordinator. This position is directly under the Property Management Division Manager in Administrative Services. The individual will coordinate, prepare, and track the paperwork for outside contractors that perform Property Management functions for IDOR at the Willard Ice Building. The ideal candidate will be able to perform a variety of highly complex and specialized assignments, including extensive work with spreadsheets and databases. The individual must be highly organized to be able to meet statutory guidelines and be able to easily shift mindset from one project to another. Extensive knowledge of office practices, procedures, and general computer programs is required. All interested individuals are encouraged to apply.

Essential Functions

Under direction, serves as the Division’s liaison and security clearance facilitator between IDOR and outside vendors/contractors who perform Property Management functions for IDOR.Serves as coordinator for the work order process.Provides complex secretarial and specialized office support functions for the Division.Performs administrative “housekeeping” duties.Serves as the Division Timekeeper.Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, -OR- completion of high school and two years of related office experience, -OR- two years of independent business experience.Requires the ability to keyboard accurately at 30 wpm.

Preferred Qualifications

Intermediate proficiency using Microsoft Excel or similar spreadsheet software.Two (2) years of experience working in a customer service environment.One (1) year of professional experience writing and implementing written instructions and/or procedures.Two (2) years of experience coordinating multiple (projects, assignments) to meet deadlines.Two (2) years of experience following established procedures to complete work assignments.One (1) year of experience monitoring work orders for completion.Intermediate proficiency using Microsoft Word or similar word processing software.

Conditions of Employment

Requires the ability to successfully complete a tax compliance and fingerprint-based background check.Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.Requires the ability to stand for extended periods of time, climb ladders, reach above shoulder level, bend, stoop and walk for extended periods of time.The conditions of employment listed here are incorporated and related to any of the job duties as listed in the job description.
