Administrative Assistant (Part-time)
Location: Greater Havelock Chamber of Commerce Office
Reports to: Executive Director
Job Summary: The Administrative Assistant will provide essential office support for the Chamber of Commerce, Tourist Center, and Chamber Partners. The role includes managing daily administrative tasks, maintaining digital platforms, supporting events, and assisting office visitors. The ideal candidate will be a self-motivated, detail-oriented individual who can efficiently handle multiple responsibilities.
Key Responsibilities:
General Administrative Duties: Answer and direct phone calls for the Chamber office. Check and respond to administrative emails daily. Greet and assist visitors to the Chamber and Tourist Center.Partner and Office Support: Provide in-office support for Chamber Partners and potential Partners in the absence of the Executive Director and Marketing Specialist. Handle payment transactions and provide receipts using QuickBooks software.Digital Platform Management: Take ownership of the Explore Havelock app, including updates, troubleshooting, and posting content from submitted Google Docs. Manage the Chamber website by updating, troubleshooting, and posting content. Work closely with the platform company for both the app and website maintenance.Content Creation and Maintenance: Create, maintain, and update the Chamber Partner Highlight PowerPoint slides. Design and submit the weekly County Compass ad to the newspaper.Visitor Center and Office Organization: Maintain and organize rack cards, brochures, business cards, and flyers for the Chamber office and Visitor Center. Enter Visitor Center form data into Google Docs daily. Submit the end-of-month Visitor Center report to the TEC Sales Manager and TDA Manager.Event and Office Support: Assist with event preparations, support, and participation as needed. Type or create office documents and compile relocation packages. Troubleshoot office equipment, clean the office, vacuum, and take out the trash as needed. Assist with office mailings by stuffing and stamping envelopes. All other duties as assigned
Qualifications:
Proficiency in Microsoft Office Suite and QuickBooks software.Experience managing websites or apps is a plus.Strong organizational and multitasking skills.Excellent verbal and written communication skills.Ability to work independently and as part of a team
Physical Requirements:
Ability to lift up to 20 pounds.May require standing, walking, and performing physical tasks related to event support.
