Job Description

We are looking for an Administrative Assistant to be responsible for office operations and upkeep, mail distribution, requisition of supplies as well as additional clerical duties. This position will be a full-time contract and onsite.

What You’ll Do

Answer all 800 calls in a timely manner and record on Client Contact forms

Forward 800 calls to available volunteer counselors or provide counseling assistance when volunteers are not available

Take calls from counselors regarding availability and/or supplies

Complete daily data entry, including Client Contacts

Prepare labels and mailings for information packets, assemble packets of information, and make copies of SHIP information as needed

Inform the Office Manager when supplies of materials are low

Organize and put away all deliveries in an orderly manner

Maintain a clean and orderly work area, recycling unwanted paper and boxes

Take voice mail messages for all packet requests twice a day (morning and afternoon at minimum)

Forward call back messages to Volunteer Supervisors at the end of the day

Assemble new counselor training materials and other training materials requested by Trainers

Prepare presentation materials and supplies as requested by Volunteer Supervisors, Counselors, or SHIP Local Sites

Perform other duties as assigned by the Office Manager, including special mailings/emails, 800 message recordings, updating lists, etc.

What You'll Need

Required:

Ability to perform standardized tasks and effectively communicate on the telephone consistent with agency policies and laws

Provide accurate and correct information to callers and complete tasks in a timely manner

Maintain accurate records, files, forms, reports, and technical information

Strong organizational skills and attention to detail

Preferred:

Experience in a clerical or administrative assistant role

Familiarity with Medicare information and related services

Physical Demands

Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state, and local standards

Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.

Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
