Legal Personnel Specialist

to provide comprehensive clerical and administrative support to the Firm's lawyers and legal professionals, and to assist with daily functioning of the Firm's Legal Personnel Department.The ideal candidate will be responsible for...Maintaining legal personnel information: viDesktop database, HCMS, employee files, and records to ensure accuracy and confidentiality of the same.Creating and maintaining recurring legal personnel reports then circulate to various internal departments and lawyers, including Practice Group Leaders, Division Chairs, and firm management.Compiling and analyzing statistical information to respond to data requests from other internal firm departments; Preparing and completing various external surveys and questionnaires related to firm personnel statistics.Counseling attorneys on departure policies and practices; Communicating directly with attorneys on policies related to and coordination of leaves of absence and/or FMLA events. Liaising with Benefits Team regarding same.Managing the bar renewal and bar admission process for multiple state and local bars.Assisting with the administration of the Firm’s legal personnel policies.Monitoring and approving weekly timecards for over 90 employees within Paralegal and Analyst populations.Assisting Director of Legal Personnel with assuring Affirmative Action Plan compliance.Overseeing the preparation of employee new hire, status change, and departure notifications; Assisting with onboarding and departure logistics for legal employees, including coordination with other internal departments.Responding to external employment inquiries (background checks, employment verifications, etc.); Processing and maintaining records for candidate background checks.Providing administrative support to Legal Recruiting team (attend events, collaborate on projects, etc.), as needed.Assisting with budget maintenance and processing invoices.The successful candidate will demonstrate...Bachelor’s degree or equivalent experience.Minimum of 3-years of legal recruiting or human resources experience in professional services, preferably a law firm.Working knowledge of MS Office Suite; experience working in various HR systems and databases and document management systems; viDesktop (to include viRecruit, viEval) and iManage Work experience preferred.Strong organizational skills and the ability to manage a high-volume workload and efficiently prioritize competing demands.Must be attentive to detail, proactive, and able to respond to changing deadlines.Excellent interpersonal and communication skills and proven ability to develop and maintain relationships; Strong focus on client service and responsiveness.Ability to exercise discretion and independent judgment in the performance of responsibilities.Pay Range for Candidates in Washington, DC:$72,000 - $90,000 per yearPay Range for Candidates in New York City:$75,000 - $94,000 per yearThe range provided is the minimum and maximum salary that Venable in good faith believes at the time of this posting that it is willing to pay for the advertised position.
