The Executive Administrative Assistant will report into the CVP, Global Quality and Chief Regulatory Officer and the VP Regulatory Affairs for Tissue Technologies business division. The position will perform administrative and basic coordination tasks to help facilitate efficiency of the Global Quality and Regulatory Affairs organizations.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Provide administrative support to CVP, Global Quality and Chief Regulatory Officer and direct reports as needed.
Evaluates and communicates complex content in a clear manner using tact and diplomacy. Maintain a strict level of confidentiality with supporting senior leaders.
Maintain and manage calendars to schedule meetings internally and externally worldwide.
Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities for presentations and meetings and arrange luncheons.
Maintain and update systems and processes related to purchase orders, CAPAX.
Coordination of travel arrangement (including air, rail, car and hotel) for CVP and direct reports.
Process expenses reimbursements using Concur.
Preparation (gathering, collating and organizing), distribution and filing of standard weekly, monthly, quarterly reports, presentations and documents.
Schedule and assist with IT for quarterly Global Regulatory Affairs Town Hall meetings.
Prepare and maintain Word, Excel, Visio and Power Point documents and presentations, as well as Organizational Charts for the leadership team.
Complete registrations for professional meetings, seminars and workshops.
Maintain and order supplies for daily use for department.
Support and/or manage new employee set-up (e.g. preparing and submitting New Employee form to GAC, preparation of Training File folder)
Handle special projects and various other administrative duties as may be assigned from time to time.
QUALIFICATIONS
The requirements listed below are representative of the knowledge, skill, and/or ability required for this position.
Education:
High school diploma required, Associate or Bachelor degree preferred.
Experience:
Minimum of 5+ years of experience providing executive support.
Exceptional verbal and written communication skills; strong attention to detail.
Ability to multi-task while still exhibiting good judgment and poise in a fast-paced environment.
Schedule flexibility, including the ability to work outside of regular business hours as the workload may require.
Utmost discretion with confidential information.
Detail oriented with excellent proofreading and typing skills.
People-oriented personality with outstanding interpersonal skills and an ability to communicate in a positive manner with employees, customers, suppliers, and other business associates of Integra LifeSciences.
Ability to set priorities for assignments and assure deadlines are met.
Ability to work independently and solve problems without micromanagement.
Flexibility to learn new technical skills and adapt to new and changing responsibilities

Familiarity and/or experience with Oracle or SAP for creation of requisitions and purchase orders and Concur for the creation of travel & expense reports
