Position Open Until Filled
Primary Function of Position:Provides administrative support and assistance to the faculty of the Trade & Industrial department. Maintains student records. Provides assistance to students and the attendance office for leave of absences. Ensures confidentiality of student and staff records. Provides back-up secretarial support to the Director's office.

Essential Job Functions:
Provides administrative support to the faculty using the District's student accounting software (Prodigy).Prints reports, labels, and letters for instructors and students as requested.Works with the registrar's office for the enrollment, transfer, and withdrawal of students within Prodigy.Prints and distributes student Emergency Information forms for department faculty.Handles the development, and/or distribution of all beginning-of-the-year forms for students within the department.Prepares the department's program enrollment information (PEF) report for the Oklahoma Department of Career and Technology Education.Handles the entrance process to include correspondence, orientation packets, enrolling students, and provides assistance with orientation days.Handles the exit process to include planning end-of-year records meetings with faculty, verifying and updating student course grades and certificate records, and printing and distributing Certificates of Completion and Transcripts.Responsible for confidentiality of student information.Assist instructors with ordering supplies needed for class and shop/lab areas.Contacts substitutes when instructor is not able to be in class.Provides back-up administrative support to the Director's office.Answers the telephone and refers calls as appropriate.Greets public and customers to determine their needs.Attends and participates in staff development activities, to include computer training and other school or department training initiatives.Attends and participates in team meetings, all-school faculty, and staff meetings.Serves on appropriate school committees as the need arises.Assists the Career Planning Center with students and/or parents touring the transportation building and arranges for student ambassadors to conduct the tour.Ability to be present on the job as described under working conditions and contract details.Other duties as assigned.Knowledge, Skills, and Abilities:
High school diploma or equivalent required.Administrative office certificate or Associate's degree highly desired.Three to five years of administrative experience required.Administrative experience in educational setting a plus.Ability to work independently with limited supervision and direction.Proficiency in all Microsoft office components (Excel, Word, PowerPoint).Excel skill must include the ability to build and format formal reports.Familiarity with Microsoft Outlook.Ability and desire to maintain/manage an efficient, well organized office area.Exceptional verbal communication skills.Strong written communication demonstrated in both letter and email.Ability to understand and meet critical deadlines.Ability to excel in a fast-paced work environment by prioritizing tasks and projects.Strong flexibility, time management, and organizational skills are a must.Anticipate needs, be resourceful and have ability to build strong employee partnerships within the organization.Able to manage heavy workload and work outside of regular work schedule in order to accommodate special projects and departmental deadlines.Ability to consistently deliver superior customer service and work quality to internal and external customers.Working Conditions:Long periods of sitting and standing. Ability to lift 10-25 lbs. Low-level machine noise is encountered the majority of every day. Concentrated visual effort is required. Extensive communication with internal and external customers. Organizational Relationship:Full-time, non-exempt personnel position reports directly to the Director of Trade & Industrial.
Contract Details:Twelve-month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. - 4:30 p.m.
Benefits:Francis Tuttle offers a comprehensive benefit package for full-time employment to include paid health and dental insurance, monthly supplemental benefit compensation of $465, employee leave plan with family friendly work calendar and 100% contribution into Oklahoma Teachers Retirement System. Effective January 1, 2025, the district will match up to 2% of monthly, base salary with a 403b or 457 retirement plan (base salary does not include stipends or extra duty).
* Starting salary represents individuals who are in early stages of career, newer to the role, working toward increasing proficiency.** This range represents individuals who are fully experienced and qualified, demonstrate sustained performance for a period of time and exhibit full proficiency in all aspects of their role.
