Position Open Until Filled
Primary Function of Position:Provides administrative and clerical services for AXIS FT. These responsibilities are achieved by delivering effective, efficient, and customer-focused support to clients, residents, and members of AXIS FT, walk-in customers, strategic partners and Francis Tuttle colleagues.

Essential Job Functions:
Assists AXIS Director, clients, residents, members, and customers with equipment, communications, printing, consumables, and other related administrative duties as needed.Provides general administrative and clerical support for the department such as answering telephones and responding to internet and e-mail inquiries.Records and maintains accurate financial transactions such as invoicing clients, residents and members for all billable services.Updates and maintains files, databases, student accounting records, confidential files, and other documents in an accurate and timely manner.Assists with purchasing, including: researching resources and pricing, generating electronic requisitions, placing orders, monitoring order status, receiving orders, and processing invoices and completed paperwork.Assists in the planning, scheduling, organizing, and hosting Incubator-sponsored events, conferences, meetings, and classes as needed.Assists in reporting and transmitting training and consulting hours, rosters, and reports.Provides accurate, timely, and well-informed information and communication regarding the AXIS FT and Francis Tuttle operations to applicants, clients, customers, vendors, strategic partners, and Francis Tuttle administration and colleagues.Shares processes and information with team members and other Francis Tuttle departments to enhance the overall effectiveness and impact of AXIS FT.Interacts effectively with colleagues in other departments to achieve Francis Tuttle's mission, goals and strategic initiatives.Provides support for Danforth Campus receptionist and co-workers as needed.Attends Danforth team meetings.Exhibits quality customer focus in all interactions.Works routinely with and maintains confidential information.Works effectively and efficiently with minimal direct supervision.Maintains professional appearance, competence and expertise.Ability to be present on the job as described under working conditions and contract details.Performs other job-related duties as assigned.
Knowledge, Skills, and Abilities:
High school diploma or equivalent plus at least two years of related work experience required.Must have technical aptitude and be proficient in Windows, Microsoft Word and Excel with excellent keyboarding, proofreading and accurate data entry skills. Adobe CC experience preferred.Excellent interpersonal skills, organizational skills, attention to detail, problem solving skills, and time management are required.Exceptional verbal and written communication skills.Anticipate needs, be resourceful, and have ability to build strong employee partnerships and relationships within the department and organization.Able to manage heavy workload and occasionally work outside of regular work schedule in order to accommodate special projects and departmental deadlines as needed.Must be self-motivated with ability to work effectively both independently and in a team setting with limited supervision and direction.Ability to cultivate, build and maintain strong long-term working relationships with individuals or organizations with diverse perspectives and backgrounds, adopting practices that promote diversity and equity, consequently maximizing opportunities for student engagement and motivation.Ability to consistently deliver superior customer service and work quality to internal and external customers.
Working Conditions:Moderate physical and visual effort is required. Extended periods of sitting at a desk. May involve lifting of materials and equipment up to 25 pounds. Extensive written and oral communication with customers, instructors, colleagues, and business partners. Reliable, dependable and punctual attendance. Organizational Relationship:Full-time, non-exempt personnel position reports directly to the AXIS Director.
Contract Details:Twelve-month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. - 4:30 p.m. Evening hours may be required on occasion.
Benefits:Francis Tuttle offers a comprehensive benefit package for full-time employment to include paid health and dental insurance, monthly supplemental benefit compensation of $465, employee leave plan with family friendly work calendar and 100% contribution into Oklahoma Teachers Retirement System. Effective January 1, 2025, the district will match up to 2% of monthly, base salary with a 403b or 457 retirement plan (base salary does not include stipends or extra duty).
