Summary:
The Events Coordinator is responsible for the logistics of events and group experiences at all of the TWE Sites. Which may include coordinating all customer details, creating the event order and obtaining guest's signature for group experiences/ events, promote/ upsell opportunities, add additional TWE sites to the schedule, and handle payments. Also coordinate all outside vendors including caterers, rentals, dcor, etc. In addition, the role supports the virtual tastings with handling payments, checking ship compliance, tracking orders and running viewing platforms.
Key Responsibilities include:
EventsEvents can include: On and off site, social, tasting (in-person and virtual), meals, weddings, receptions, proposal, and internal events like wine club events.Execution of all event steps: Leads, upsell opportunities event order creation for group experiences/ events, including some larger site/WC events, event details, coordination of all outside vendors, event details, financial deposits/payments, and outside vendor invoices. Closing the file. All under the supervision of the Sales Manager (SM)Serves as point-person for event details; responds promptly, professionally, and efficiently to clients. Handles all event correspondence in a timely matterConducts site inspections for possible new events or group experiences, detail planning with booked client and vendor inspections.Event Coordinator is responsible for all communication on staffing and culinary needs to the sites and/or internal partnersCoordinates schematics and run of shows when needed along with the SMFollow up with site and vendors for feedback and recap for SM for client follow up.Manage vendor relationships along with Event ManagersGet quotes and book vendors for Social and Corporate EventsMaintain clientele databases to include DMC's (Destination Management Companies), Corporate, Consumers from Events, Social, and Hotel Partners to create additional revenue streams.Responsible for making sure our Event Management systems are up to date, post payments, audit your event status & details and follow up. This includes enter leads to our tracker and updating our pipelinesProvide analysis and insight on event business ROIStaying on site for larger or high level groups during an event to ensure guest expectations are met and additional support is available within standard work week. This includes load in and out and physical moving of equipment as needed.Create and distribute the weekly event packet to all site. Attend all site event meetings.Responsible for contribution to the monthly sales targets for each site within TWE DTC estatesPerforms other duties as assigned to meet business needs.Maintain standards of excellence/luxury for all TWE events and meeting client expectation.Attend off-site outreach events as neededWine Club and Consumer Events

You must have Associate Degree or at least (1) years of event planning or catering experience or strong desire to work in this space.Event execution experience desired.You have strong computer skills and are proficient in Word, Excel, Publisher, Power Point and Outlook.You have Excellent written and verbal communication and negotiation skills.You are detailed oriented and can work under independently.You are systems savvy and can work in multiple platforms such as Event Reservation Systems, payment system, shipping platforms.You can connect with guests, manage detailed events, upsell products and services, manage multiple guests at a given time, be detailed orientated, and have a working knowledge of event management systems.You have the ability to handle difficult customers while providing excellent customer service and hospitality.What's in it for you

Pay Transparency Disclosure:
The base pay range offered for this position is $25.48 to $31.73 per hour and a target bonus and other benefits. These figures represent what we reasonably expect to pay for this position, but the actual compensation offered will depend upon numerous job-related factors, including but not limited to candidate qualifications, skills, experience, education, location, and alignment with market data. Our expectation is that the incumbent will work in our Napa, CA market listed above. If the incumbent works out of another location, the wage rate may fall above or below this range. Treasury reserves the right to modify the range in the future.
