The Administrative Assistant for Napa Valley provides administrative, operational, and facility support to The Duckhorn Portfolio Napa Valley employee group and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive. Supports executive administration team with specialized administrative assistance including expense reporting and general correspondence.
What we will ask you to do:
Office Administration (70%)Meets and greets employees and guests in a professional manner, providing courteous support.Maintains and organizes office and break room supplies and amenities, seating chart and facility keys including office doors and locking files.Liaises with landlord and company facilities team in relation to any tenancy issues and building upkeep and administers office services such as janitorial, trash removal and maintenance.Composes and distributes professional, property-specific employee communications.Organizes and oversees all delivery and postage services, including maintaining postal meter accounts and distributing all incoming deliveries and interoffice mail.Coordinates refreshments and arranges catering as required for company meetings and gatherings.Stays abreast of projects, calendars and schedules. Assists with facility conference room calendars and approves meeting requests.Performs clerical duties, including obtaining signatures, photocopying, mailing and printing.Administrative Support (30%)
Provides administrative support to members of the executive administration team and senior management, including but not limited to: processing monthly credit card expenses; booking flights and hotels, and creating detailed itineraries.Provides administrative support to the People Team and other departments as needed with tasks such as processing expenses, organizing meals, delivering payroll, and sending gifts on behalf of the company to mark employee milestones.Performs all other duties as assigned.What you will need:
Proficiency in Microsoft Office Suite (Word/Excel/Outlook/Office).Superior customer service insight and delivery with a professional demeanor.Ability to handle confidential matters with discretion and high level of integrity and trust.Strong organizational skills with acute attention to detail.Flexibility with the ability to juggle competing priorities manage diverse projects and support multiple individuals with minimal supervision.Valid Driver's License and insurable MVR.What we will provide:
